Remind customers before their AMC or subscription lapses on WhatsApp
A factual WhatsApp reminder sent before an AMC or subscription lapses, with the customer's own expiry date and a direct path to renew before the service stops.

How the flow works
Each contract's renewal date is tracked
Your service system, billing tool or even a spreadsheet already knows when each customer's annual maintenance contract or subscription is due to expire, and which plan or equipment it covers.
A segment of soon-to-expire contracts is built
A few weeks before expiry, and again closer to the date, a segment or import identifies customers whose contract ends within that window, so reminders go only to people actually facing a lapse.
A reminder names the contract and the date
Each customer gets a message naming their specific equipment or plan, the exact expiry date and the renewal amount, so it reads as an account notice about their own contract, not a generic push.
Renewal is one reply or one tap away
The message offers a quick-reply to request renewal, or a payment link to pay directly, so acting on the reminder takes one step rather than a phone call to the office.
Lapsed and renewed contracts are tracked
Replies and payments update the contract's status, so the business can see how many reminded customers renewed before lapsing and follow up differently with those who did not.
Business: Hi Vikram, your AMC for the split AC (Unit #SA-2291) with Highway Cooling Services ends on 28 Nov. Renew for ₹2,400/year to keep your free service visits and parts cover. Reply RENEW to pay now.
Customer: RENEW
Business: Here's your renewal payment link for ₹2,400: [Pay now]. Your cover continues without a gap once this is paid.
Customer: Does this cover the outdoor unit too?
Business: Yes, both indoor and outdoor units are covered under this AMC, including up to two free service visits.
The problem this solves
An AMC or subscription that lapses quietly costs both sides: the customer loses cover they were relying on and often does not notice until something breaks, and the business loses a renewal that a timely reminder would likely have captured. Most service businesses already track the expiry date somewhere, whether in a service management tool, a billing system or a spreadsheet; the gap is usually that nobody reaches the customer with enough notice and a simple way to act.
This applies just as well to a software subscription, an insurance-adjacent service contract, or a pest-control or security-monitoring plan as it does to an appliance AMC: anywhere a customer pays once a year (or on another fixed cycle) for ongoing cover, and a lapse is easy to miss until it matters.
Writing the reminder
Keep this as a utility message: it reports on the customer's own existing contract and its own expiry date, with no unrelated offer mixed in. State the equipment or plan, the exact expiry date and the renewal amount, and give one clear action. Adding a discount for switching to a longer plan, or promoting an unrelated service, pushes the message toward marketing and should then go out separately, only to customers who opted in to offers.
Building the flow in Broadchat
- Store each contract's expiry date, plan name or equipment reference, and renewal amount as CRM → Super Field custom fields, either synced from your service system or imported as a CSV against existing contacts.
- Build a CRM → Segment for contacts whose expiry date falls within your reminder window (for example, 30 days out), and a second segment for a closer, final-notice window (for example, 7 days out).
- Send the reminder template to each segment from CRM → Bulk Campaign, timed so the final-notice reminder reaches anyone who has not renewed after the first one.
- Add a chatbot keyword trigger on "RENEW" that creates a Payments → Payment Order for the renewal amount and sends the payment link in reply.
- When a payment order is marked paid, update the contract's expiry date on the contact and remove them from the renewal segments for this cycle.
What results to expect
How much this improves renewal rates depends on your current process and how often customers already renew without prompting, so track your own renewal rate for a few cycles before and after adding reminders rather than assuming a fixed lift. A contract renewed just before lapsing is also worth more than one renewed weeks after a gap, since a lapsed customer is more likely to shop around for a replacement provider in the meantime.

What to measure
- Renewal rate: the share of reminded customers who renew before the contract actually lapses.
- Days between the reminder and the renewal payment, to see how early reminders need to go out.
- Lapsed contracts that renew later anyway, compared with ones that never come back.
- Opt-out or complaint rate on renewal reminders, to check the frequency is not seen as pushy.

Frequently asked questions
Is an AMC renewal reminder a marketing or utility message?
Utility, as long as it strictly reports the customer's own contract, its expiry date and the renewal amount, with no unrelated offer. Mixing in a promotion for a different plan or service makes it marketing, which should then go only to opted-in customers.
How far before expiry should the reminder go out?
A first reminder around 30 days before expiry gives time to plan and pay; a second, shorter-notice reminder closer to the date catches people who meant to renew but have not yet. Two reminders is usually enough; more risks the message feeling like a chase.
Can customers pay the renewal directly from WhatsApp?
Yes, if you have WhatsApp Payments or a payment-link gateway such as Razorpay or PhonePe set up. A chatbot keyword trigger can create a payment order and send the link the moment a customer replies to renew.
Does this work for subscriptions that renew monthly rather than yearly?
Yes. The same logic applies at any renewal cycle; just set the reminder windows relative to whichever cycle length your contracts actually use, and keep the reminder frequency proportionate so monthly customers are not reminded too often.
