The problems WhatsApp solves for nbfcs, microfinance and loan distributors
Applicants drop off while waiting
Between application and disbursal there are KYC checks, bank statement analysis and sanction. Applicants who hear nothing for two days apply elsewhere, and the sourcing cost is wasted.
KYC documents arrive in the wrong way
Field officers and DSAs collect Aadhaar, PAN and bank statements as photos in personal chats. Images are blurred, cropped or sent to the wrong person, and the company has no control over where customer documents end up.
EMI bounces are often just forgetfulness
Many missed EMIs are low balance on the debit date, not unwillingness to pay. A timely reminder a few days before the NACH date avoids bounce charges for the borrower and follow-up cost for the lender.
Collections conduct is closely watched
Lenders and their recovery agents are expected to contact borrowers at reasonable hours, without threats, abuse or contacting relatives to shame them. Ad hoc messages from agents' personal phones are hard to supervise.
Borrower queries swamp the branch
Requests for statements, foreclosure amounts, NOCs and interest certificates come by phone and walk-in, even though most can be answered from the loan management system in seconds.
What lenders use WhatsApp for
The WhatsApp API for NBFC lenders works best on the messages borrowers already expect: application status, KYC requests, the sanction letter, disbursal confirmation and EMI reminders. All of these are utility templates about a loan the person applied for or holds. Collections can use WhatsApp too, but only with written-down rules on timing, tone and frequency that match your collection policy and RBI's conduct expectations. This page is for NBFCs, microfinance institutions, housing and vehicle finance companies and DSAs. It is not a substitute for advice from your compliance team.
For the basics of the platform see what the WhatsApp Business API is. Every first message outside the 24-hour window must be an approved message template.

Template review can take up to 24 hours and Meta rejects templates that threaten the recipient or ask for sensitive data such as full card or ID numbers. Write collection templates as plain statements of fact with a helpful next step. Pre-approved loan offers are marketing, need opt-in to offers and should carry "subject to eligibility" wording. The template guide covers the review process.
Chatbot flow outline
- New Message trigger, then Ask Question with a list: Application status, My loan, Pay EMI, Statement or certificate, Talk to us.
- The bot matches the sender against the registered mobile number on the loan; if there is no match, it asks for the application or loan number and Assign to Agent for manual verification.
- Application status: an automation app step calls your LOS API and Send Message returns the current stage.
- Pay EMI: Send Message with a payment request through your gateway; the When Payment Transaction Complete trigger sends a receipt and tags the contact, and When Payment Transaction Fail offers a retry or a person.
- Statements and foreclosure: an API call fetches the document, sent as a PDF.
- Working Hours wraps every collections hand-off so agents only pick up overdue chats during permitted hours; outside them the bot acknowledges and queues the chat.
Broadchat features to use
- Channels → All Channels: connect the brand number and watch quality rating and messaging limit after every reminder run.
- Department → Departments and Department → Roles: separate sales, operations, service and collections; collections agents see only assigned accounts.
- CRM → Super Field: application ID, loan number, EMI amount, due date, bucket, last contact date.
- Automations → Workflow: a daily workflow reads due dates from your LOS export or Google Sheets and sends the EMI reminder template, with a Delay step and a cap on attempts.
- WhatsApp Mini-Apps → Mini Apps: a WhatsApp Flows form for application details and consent capture.
- Payments → Payment Gateways and Payments → Payment Orders: Razorpay or PayU WhatsApp payments, or PhonePe links, with every payment recorded against the contact.
- CRM → Live Chat with CRM → Canned Replies: approved wording for common replies so agents do not improvise on overdue accounts.
- CRM → Exports: export chats and contact history for internal audit.
Illustrative ROI
Illustrative only. A lender has 5,000 EMIs due in a month on NACH. If pre-due reminders help 100 borrowers keep enough balance who would otherwise have bounced, and each bounce costs the lender ₹350 in re-presentation and follow-up effort, that is ₹35,000 saved in a month, plus less stress for borrowers who avoid bounce charges. From that, subtract Meta's charges for 5,000 utility templates and any replies beyond the 1,000 free service messages per number per month, and your platform subscription. See our WhatsApp API pricing explainer for how charges work. Compare bounce rates for reminded and non-reminded borrowers before relying on any estimate.
Getting started
Begin with application status and the pre-due reminder, using the fee and payment reminders use case for timing. Read opt-in best practices before any loan offer campaign, and connect your number with the setup guide. Fintech agencies that serve several lenders can run this under their own brand through the partner program.
Use cases with example messages
Application status updates
Your loan origination system sends a utility template at each stage: received, documents pending, under review, sanctioned, disbursed. Each one names the next step for the applicant.
utility template
Business: Hi {{1}}, your loan application {{2}} for ₹{{3}} has moved to: {{4}}. We will message you here at the next step. Sample: Ramesh, APP-6620913, 2,50,000, credit review
Example message KYC document request through a secure link
Instead of asking for photos in chat, send a link to your secure upload page or a WhatsApp Flows form, listing only the documents still missing.
utility template
Business: Hi {{1}}, to continue application {{2}} please upload: {{3}}. Use the secure link below. We will never ask for your OTP or PIN. Sample: Kavita, APP-6620921, last 6 months bank statement
Example message Sanction letter and disbursal confirmation
Share the sanction letter as a PDF, then confirm disbursal with the amount, account (masked) and first EMI date.
utility template
Business: Hi {{1}}, ₹{{2}} for loan {{3}} has been credited to your account ending {{4}}. Your first EMI of ₹{{5}} is due on {{6}}. Sample: Ramesh, 2,45,600, LN-0045521, 4417, 8,920, 5 Nov 2026
Example message Pre-due EMI reminder
Three days before the debit date, remind the borrower of the amount and date so they can keep the balance ready, with a pay-now link for those not on auto-debit.
utility template
Business: Hi {{1}}, your EMI of ₹{{2}} for loan {{3}} is due on {{4}}. Please keep sufficient balance in your account ending {{5}}. Sample: Sameer, 4,350, LN-0038810, 5 Nov 2026, 2210
Example message Missed EMI follow-up
If the debit fails, a polite template states the facts and offers ways to pay or to talk to someone. Tone, timing and frequency follow your board-approved collection policy.
utility template
Business: Hi {{1}}, we could not collect your EMI of ₹{{2}} for loan {{3}} due on {{4}}. You can pay using the link below, or reply HELP to speak to our team. Sample: Sameer, 4,350, LN-0038810, 5 Nov 2026

A rollout playbook
Start with application status
Status updates reduce drop-off and calls at once, carry low compliance risk and teach borrowers to trust messages from your number before any payment reminder arrives.
Move KYC off chat attachments
Build a secure upload page or a WhatsApp Flows form and send its link. Fewer documents sit in inboxes, and each upload lands against the right application.
Write the collections policy into the bot
Encode contact hours with Working Hours, a cap on reminders per due date, and approved wording only. Agents send templates, not free text, for first contact on overdue accounts.
Use one number, many teams
Sales, operations, customer service and collections share the brand number but sit in separate departments with role-based access to chats.
Automate statements and certificates
Connect the chatbot to your loan system through an API call so routine requests are answered instantly from the registered number.
Audit monthly
Export collections chats, check timing and tone against your policy, and review quality rating and blocks. Fix wording before you scale volumes.
Compliance notes
- Follow RBI's fair practices expectations as they apply to you: transparent terms, the key facts given to the borrower in writing, and courteous communication throughout the loan.
- Recovery contact should happen at reasonable hours, without threats, abusive or humiliating language, and without contacting relatives, references or employers to pressure the borrower. Meta also rejects threatening templates.
- Never ask for OTPs, UPI PINs, net-banking passwords or CVV in chat, and say so in your templates; fraudsters impersonate lenders on WhatsApp.
- Collect KYC documents through a secure link rather than chat images where possible, restrict inbox access by role and delete documents per your retention policy.
- Under the DPDP Act 2023, process borrower data only for the purpose it was collected for, with consent, and honour requests to stop non-essential messages.
- Mask account numbers and do not include outstanding amounts or overdue status in messages that someone other than the borrower might read on a shared phone, beyond what is needed.

Frequently asked questions
Can we send EMI reminders on WhatsApp?
Yes. A reminder about an EMI on a loan the borrower holds is a utility template. Send it with the borrower's consent to be contacted on WhatsApp, keep it factual and limit how many you send per due date.
Can collections agents message borrowers on WhatsApp?
They can, from the company number in a shared inbox, so every message is on record. Use approved templates for first contact, permitted contact hours and courteous language, and never contact relatives or references to pressure the borrower.
Is it safe to collect KYC documents on WhatsApp?
It is safer to send a link to a secure upload page or a WhatsApp Flows form than to collect images in chat. Restrict inbox access by role and delete documents according to your retention policy.
Will Meta approve a collections template?
Meta reviews every template and approval is never certain. Templates that are factual, polite and offer a way to pay or talk to someone are far more likely to pass than ones with threats or pressure.
Can borrowers pay the EMI inside WhatsApp?
Yes, through a payment request from Razorpay or PayU WhatsApp payments or a PhonePe payment link. Borrowers complete payment in their UPI app or on the gateway page, and the payment trigger sends the receipt automatically.
