The problems WhatsApp solves for ngos, trusts and non-profit organisations

  • Receipts arrive late or not at all

Donors who give online wait days for a receipt by email, often in spam. Small donors stop giving when they feel nobody noticed, and larger donors need the receipt for their tax filing.

  • Appeals go to everyone on an old list

Event sign-up sheets and volunteer forms end up in one big contact list. Messaging all of them during a flood appeal brings blocks and complaints, and can restrict the number.

  • Volunteers drop out at the last minute

Weekend drives, health camps and food distributions depend on volunteers showing up. Reminders in a large WhatsApp group are missed among hundreds of other messages.

  • Beneficiaries reach out on staff phones

Families asking about a scholarship, ration kit or medical support message field workers directly. Sensitive details sit on personal phones with no oversight and leave with the worker.

  • Small teams, no budget for call centres

Most NGOs run communications with two or three people who also write reports and manage events. Anything that needs constant manual sending will not last.

What WhatsApp does for a non-profit

The WhatsApp API for NGOs gives a small team one number that thanks every donor within seconds, sends appeals only to supporters who asked for them, keeps volunteers on schedule and runs a beneficiary helpline without staff handing out personal numbers. It suits registered trusts, societies and Section 8 companies that already raise funds online or run field programmes. If you only send a few messages a week, the WhatsApp Business app may be enough; compare them in Business app vs API.

New to the platform? Start with what the WhatsApp Business API is. Every message outside the 24-hour customer service window must be an approved message template, and Meta decides the category: receipts and shift reminders are utility, appeals and impact stories are marketing.

A pricing note for non-profits

Meta's pricing changed on 1 Oct 2026: each business phone number gets 1,000 free service messages a month, and service messages beyond that are charged; utility templates are charged even inside an open customer service window. Meta's pricing page also says that eligible government and non-profit accounts keep free service messages beyond the 1,000 until 31 Dec 2027. Eligibility is Meta's decision, not your platform's, so check the pricing page and your account before you plan around it. Template messages are charged either way; see our WhatsApp API pricing explainer.

Our template writing guide explains how Meta categorises messages and why an appeal hidden in a receipt can get the receipt template recategorised.

Chatbot flows for donors, volunteers and beneficiaries

  1. When Payment Transaction Complete (WhatsApp payments or payment link): Save Variable Value for amount and reference, then Send Message of type Template with the receipt PDF.
  2. Match Keyword on "donate": Send Message with three amount buttons and a custom option; Send Message of type Payment for the chosen amount.
  3. Match Keyword on "volunteer": AI Data Collector gathers name, area, skills and availability; the Native Calendar app (added with Add Automation App) books a slot in the drive with limited seats.
  4. New Message from unknown numbers: AI Language Detector then Ask Question ("Are you a donor, volunteer or seeking support?") to tag the contact.
  5. Seeking support: Trained AI answers eligibility and document questions from your programme FAQ; anything personal goes to Assign to Agent in the restricted beneficiary department.
  6. Working Hours so beneficiaries know when a person will reply.

Broadchat features to use

  • Payments → Payment Gateways (Razorpay or PayU WhatsApp payments, PhonePe links) and Payments → Payment Orders to reconcile donations.
  • Dynamic Experience → PDF Experience: a personalised receipt PDF per donor, if your accounts system does not produce one.
  • Automations → Calendar: event types per drive or camp with bookings per slot, so you cap volunteer numbers.
  • CRM → Tags, CRM → Super Field and CRM → Segment: donor, volunteer and beneficiary lists, appeal consent, last gift date.
  • CRM → Bulk Campaign: appeals to the opted-in donor segment, and Retarget to people who read but did not give.
  • Department → Departments and Department → Roles: a beneficiary desk only trained staff can see.
  • AI → AI Agents: an agent whose instructions cover programme rules and FAQs in Hindi and English.

Illustrative ROI

Illustrative numbers only. Asha Shiksha Foundation receives 400 online donations a month. If a coordinator spends 5 minutes per donation sending receipts by email and fixing bounces, automating it saves about 33 hours a month. If two well-targeted appeals a year to 2,000 opted-in donors bring 60 gifts at an average of ₹1,500, that is ₹90,000 raised. Volunteer reminders with a drop-out button let you replace no-shows the evening before instead of running a camp short. Subtract Meta's template charges, any service-message charges if you are not on the non-profit exemption, and the platform subscription; your partner can quote the platform side.

For agencies that serve the social sector

Agencies and CSR consultants that run communications for several NGOs can offer this under their own brand through the partner program, with each organisation in a separate workspace.

Use cases with example messages

  • Instant donation acknowledgement and receipt

When the payment gateway confirms a donation, send a thank-you with the amount, the transaction reference and your receipt as a PDF. If you are registered to issue 80G receipts, this is where your receipt goes; the message itself is utility because it is about a completed transaction.

    utility template

    1. Business: Dear Meera, thank you for your donation of ₹2,500 to Asha Shiksha Foundation on 12 Oct 2026 (ref ASF-55190). Your receipt is attached.

    Example message
  • Monthly donor mandate reminders

Remind monthly donors before an auto-debit or ask them to renew a mandate that expired, without any new appeal in the same message.

    utility template

    1. Business: Hi Arjun, your monthly gift of ₹1,000 to Asha Shiksha Foundation will be debited on 5 Nov. Reply HELP to change or pause it.

    Example message
  • Opted-in fundraising appeals

Emergency appeals, festival campaigns and project launches go only to donors who opted in to updates and appeals, with a clear way to stop. These are marketing templates.

    marketing template

    1. Business: Floods in Assam have closed 40 schools we support. ₹1,500 provides a learning kit for one child for six months. Give here: give.ashashiksha.org/assam. Reply STOP to stop appeals.

    Example message
  • Impact updates for past donors

A short story with a photo of the project a donor funded keeps them close. Because it encourages future giving, treat it as marketing and send it only to opted-in donors.

    marketing template

    1. Business: Meera, the library you helped fund in Barmer opened this week. 120 children borrowed their first books. Thank you for making it happen.

    Example message
  • Volunteer shift confirmation and reminders

Volunteers sign up through a chatbot or form, get a confirmation with location and reporting time, and a reminder the evening before with a button to drop out so you can call a replacement.

    utility template

    1. Business: Hi Rahul, you are confirmed for the health camp at Govindpura on Sun 19 Oct, report by 8:30 am at the community hall. [I will be there] [I cannot come]

    Example message
  • Beneficiary helpline

A chatbot answers questions about eligibility, documents and camp dates in the beneficiary's language, and sends anything personal to a trained staff member in a restricted department.

    Reply inside the 24-hour window

A rollout playbook

  1. Separate your lists by consent

Tag every contact as donor, volunteer or beneficiary, and record separately whether they agreed to appeals. Beneficiaries should never land in a fundraising segment.

  2. Automate receipts first

Connect your gateway so every donation triggers the acknowledgement and receipt. It is the message donors notice most and it needs no manual work.

  3. Run volunteer drives through a sign-up flow

Replace the group sign-up message with a chatbot that collects name, area and availability and books a slot, so you know exact numbers per site.

  4. Keep appeals rare and specific

One or two appeals a month to opted-in donors, each with a concrete need and amount, does more than weekly general messages.

  5. Restrict beneficiary conversations

Route beneficiary chats to a department only trained staff can see, and keep sensitive notes in restricted fields, not in tags.

  6. Check your pricing eligibility

Confirm with Meta's pricing page and your account whether you qualify for the non-profit service-message exemption before you budget.

Compliance notes

  • Send appeals and impact stories only to donors who opted in to them; a donation receipt or volunteer sign-up is not consent for fundraising messages.
  • Never put beneficiaries' health, caste, income or case details in templates, tags or campaign segments; keep them in restricted fields under India's Digital Personal Data Protection Act, 2023 principles of consent and purpose limitation.
  • Do not use photos of children or beneficiaries in appeals without documented consent from the person or their guardian.
  • Issue tax-exemption receipts only if your organisation is registered to do so, and send the same receipt your accounts system records.
  • Foreign contributions are regulated under the Foreign Contribution (Regulation) Act; if overseas donors give through WhatsApp links, make sure the link goes to your FCRA-designated account process, and take advice for anything unclear.
  • Never ask donors for card numbers, CVV or UPI PINs in the chat; use your payment gateway's link or WhatsApp payments.

Frequently asked questions

Are WhatsApp messages free for NGOs?

Not entirely. Meta charges for template messages for every account. Its pricing page says eligible government and non-profit accounts keep free service messages beyond the standard 1,000 per number per month until 31 Dec 2027; Meta decides eligibility, so check your account before relying on it.

Is a donation receipt a utility or marketing message?

A receipt or thank-you for a completed donation is utility, as long as it contains no new appeal. Asking for another gift in the same message makes it marketing.

Can I send appeals to everyone who ever gave?

Only to people who agreed to receive appeals or updates on WhatsApp. Giving once is not consent for fundraising messages, and messaging people who did not opt in leads to blocks and can restrict your number.

Can donors pay inside WhatsApp?

In India, WhatsApp payments work through Meta-supported gateways such as Razorpay and PayU, in INR only. You can also send a PhonePe or gateway payment link. Never collect card details in the chat.

How do we protect beneficiary information?

Route beneficiary chats to a restricted department, keep sensitive details in fields only trained staff can see, never place them in templates or campaign segments, and delete them when the programme purpose ends.
