WhatsApp API for insurance: renewals, claims updates and advisor hand-off
Policy renewals, claim status updates and document collection on WhatsApp, with licensed advisors handling advice and marketing kept strictly to opted-in customers.

The problems WhatsApp solves for insurance brokers, agencies and advisors
Renewals lapse because reminders are missed
Motor, health and term policies renew on different dates. Email reminders land in spam and SMS gets ignored, so policyholders let cover lapse and the broker loses the renewal commission along with the customer.
Claims create anxious, repeated calls
A customer with a pending health or motor claim calls the advisor every day to ask for status. The advisor has to check the insurer portal and call back, and the customer still feels uninformed.
Document collection drags on
Proposals stall waiting for PAN, address proof, RC copies or medical reports sent piecemeal across email and personal chats, often unreadable and with no record of what is still missing.
Advice must come from licensed people
Insurance is a regulated sale. A chatbot can collect details and share facts, but recommending a plan or explaining exclusions must be done by a person licensed to do so, and the conversation should be on record.
Cross-sell feels like spam if done badly
A motor customer may well need health cover, but blasting every policyholder with offers lowers the number's quality rating and damages trust in the renewal messages that matter.
Where WhatsApp fits in an insurance business
The WhatsApp API for insurance is most useful for the routine messages that decide retention: renewal reminders, claim status updates, document requests and the issued policy itself. These are utility messages about a policy the customer already holds, and they arrive on the app most policyholders check many times a day. Quote enquiries are handled by a chatbot that collects details and then passes the conversation to a licensed advisor. This playbook is for brokers, corporate agents, agencies and POSP networks; a single advisor with a few dozen clients can often manage on the WhatsApp Business app.

Meta can recategorise templates automatically, so read renewal templates as a stranger would: if a line sounds like a sales pitch ("upgrade now and save"), move it to a separate marketing template. The template guide explains how review works.
Chatbot flow outline
- New Message and Click to WhatsApp Ads triggers start the main bot; a Match Keyword trigger on RENEW or CLAIM jumps to those branches.
- Ask Question with a list: Renew a policy, Claim help, New quote, Talk to my advisor.
- Renew: the bot looks up the contact's policy fields, confirms the policy number and Assign to Agent sends it to the renewals desk with the details attached.
- Claim help: Ask Question for the claim number, Send Message with the latest stage saved on the contact, then hand off if the customer wants more.
- New quote: AI Data Collector gathers cover type, members, ages and city; Save Variable Value stores them; Working Hours decides whether to assign now or promise a reply next morning.
- Every branch ends with Assign to Agent for advice, so the bot never recommends a plan.
Broadchat features to use

- CRM → Imports: bring in the policy book from a CSV export of your broking software.
- Automations → Workflow: a scheduled workflow that finds policies expiring in 30, 15 and 3 days and sends the renewal template, with Google Sheets if your renewal list lives there.
- Department → Departments and Workspace → Roles & Permissions: motor, health and life teams, with access limited to their own chats.
- CRM → Live Chat: advisors reply in one inbox with full history; CRM → Canned Replies for standard document lists.
- WhatsApp Mini-Apps → Mini Apps: a WhatsApp Flows form for quote details in one structured step.
- Payments → Payment Gateways: Razorpay or PayU payment requests, or a PhonePe link, for premium collection where you collect directly.
- CRM → Bulk Campaign: cross-sell campaigns to a CRM → Segment of opted-in customers, with Retarget for non-responders.
Illustrative ROI
Illustrative only. A broker has 800 policies renewing in a month and earns an average commission of ₹2,000 per renewal. If structured WhatsApp reminders help retain 40 renewals that would otherwise have lapsed or moved elsewhere, that is ₹80,000 of commission. Subtract Meta's charges for the reminders and follow-ups (since 1 Oct 2026 Meta gives each number 1,000 free service messages a month and then charges them, and utility templates are charged even inside an open window) and your platform subscription. Current figures are on our WhatsApp API pricing explainer. Compare renewal rates for reminded and non-reminded cohorts before drawing conclusions.
Getting started
Connect your number with the setup guide, then build renewals first; the fee and payment reminders use case shows reminder timing that also works for premiums. For quote enquiries from ads, see lead qualification on WhatsApp. Agencies serving several brokers or POSP networks can offer this under their own brand through the partner program.
Use cases with example messages
Renewal reminders at 30, 15 and 3 days
A repeating workflow reads the policy expiry date from a custom field and sends a utility renewal reminder at set intervals, stopping as soon as the customer renews or replies.
utility template
Business: Hi {{1}}, your {{2}} policy no. {{3}} with {{4}} expires on {{5}}. Reply RENEW to receive your renewal quote, or CALL to speak to your advisor. Sample: Sunita, family floater health, HF-2291043, Star Health, 9 Nov 2026
Example message Claim status updates
When your claims team updates a claim stage, an inbound webhook or API call sends the customer a status template, so they hear about progress before they think to call.
utility template
Business: Hi {{1}}, an update on claim {{2}}: the surveyor visit is scheduled for {{3}}. Your claims executive is {{4}}. Reply here with any questions. Sample: Rakesh, MC-77812, 16 Oct 2026 between 10 am and 1 pm, Anil Deshmukh
Example message Pending document requests
A template lists exactly what is missing for a proposal or claim, with a link to a secure upload form, and a follow-up only for documents still outstanding.
utility template
Business: Hi {{1}}, to process proposal {{2}} we still need: {{3}}. Please upload them using the secure link below. Sample: Farah, PR-55120, PAN card and last 3 months salary slips
Example message Policy issued with the document
Once the insurer issues the policy, send a confirmation with the policy PDF so the customer has it on the phone they use every day.
utility template
Business: Hi {{1}}, your policy {{2}} is now active from {{3}}. Your policy document is attached. Save this chat for renewals and claims help. Sample: Vikram, TL-0098817, 14 Oct 2026
Example message Quote enquiry with advisor hand-off
A chatbot collects the basics for a quote (type of cover, age band, city, vehicle or family details) and assigns the chat to a licensed advisor who discusses options and exclusions.
Reply inside the 24-hour window
Business: Thanks, Neha. I have noted: health cover for 2 adults and 1 child in Indore. A licensed advisor will reply here within working hours to explain suitable plans.
Example message Opted-in cross-sell campaigns
Customers who agreed to receive offers can get a marketing template about related cover, for example health cover for motor customers, sent to a small, relevant segment.
marketing template
Business: Hi {{1}}, you renewed your car insurance with us last month. Many families also review their health cover before winter. Reply YES for a free review call. Reply STOP to opt out. Sample: Arvind

A rollout playbook
Load policies with expiry dates
Import policyholders with policy type, insurer, policy number and expiry date as custom fields. Renewals are the highest-value automation and depend entirely on clean dates.
Separate service consent from offers
Record two opt-ins: policy service messages and offers. Run cross-sell campaigns only to the second group.
Route by licence and line of business
Create departments for motor, health and life so chats reach advisors licensed for that line, and assign via the chatbot rather than by whoever is free.
Connect the claims tracker
Send claim status templates from your claims system through the API or an Inbound Webhook trigger, so updates go out the moment a stage changes.
Keep advice human
Let the bot collect details and share facts like due dates and document lists. Recommendations, exclusions and claim decisions go to a person.
Review quality every week
Watch the quality rating and blocks after each campaign. If blocks rise, shrink the audience and lengthen the gap between campaigns.
Compliance notes
- Insurance solicitation and advice should be given only by persons licensed for that line under your IRDAI-registered arrangement; use the chatbot for data collection and facts, and hand off for advice.
- Keep renewal and claim templates factual. Do not add offers to them, and do not overstate cover, claim outcomes or settlement timelines.
- Never ask for OTPs, net-banking passwords or card details in chat. Premium payments go through a payment link or the insurer's payment page.
- Health information is sensitive personal data. Collect medical reports through a secure upload link where possible, limit inbox access by role and do not repeat diagnoses in templates.
- Under India's DPDP Act 2023, collect personal data for a stated purpose with consent, use it only for that purpose and delete it when no longer needed.
- Send marketing templates only to customers who opted in to offers, and honour STOP replies across every campaign.

Frequently asked questions
Can a chatbot sell insurance on WhatsApp?
A chatbot can collect details, share factual information such as due dates and document lists, and book a call. Recommending a product and explaining exclusions should be done by a licensed person, so build every quote branch to end in a hand-off to an advisor.
Is a renewal reminder a utility template?
A reminder that a specific policy the customer holds is about to expire is generally utility. If it promotes add-ons, upgrades or a different product, it becomes marketing, so keep those in a separate template.
How do we collect KYC and medical documents safely?
Send a link to a secure upload form, or a WhatsApp Flows form, rather than asking customers to send images in the chat. Restrict who can open those chats in the inbox and delete documents once the proposal or claim is closed.
Can claim updates go out automatically?
Yes, if your claims tracker can call an API or webhook. Each stage change sends the claim status template with the claim number and next step, and the customer can reply in the same chat.
Can several advisors share one WhatsApp number?
Yes. Advisors log in to a shared inbox, chats are assigned by line of business or by the advisor who owns the client, and every reply is kept on record under the business number.
