How the flow works
Dues are known in advance
Your fee list, maintenance register or billing system gives each payer an amount, a due date and a reference such as student ID or flat number. Import it or sync it from Google Sheets so each contact carries those values.
A courteous notice before the due date
About five days before the due date, a utility template tells the payer what is due, for whom and by when, with a payment link generated for that exact amount.
Payment stops the sequence
When the gateway reports a successful payment, a chatbot started by When Payment Transaction Complete sends a receipt message, tags the contact as paid and removes them from every later reminder.
Follow up only with the unpaid
On the due date and a few days after, reminders go only to contacts still tagged unpaid. Each message stays polite and gives a way to talk to a person, for example to ask for an instalment.
Hand over to staff
After the last automated reminder, unpaid contacts go to the accounts team in the shared inbox. Collection beyond that point is a personal conversation, not a broadcast.

Why a WhatsApp fee reminder gets paid sooner
A WhatsApp fee reminder works when it does three things: states exactly what is due, for whom and by when; carries a payment link for that amount; and stops the moment the payment lands. Parents, members and tenants rarely miss fees on purpose. They lose the circular, forget the date or cannot find the account number. One clear message with a link removes those excuses, and automatic stopping means nobody who has paid gets chased.
This page suits schools, coaching institutes, housing societies, gyms and any subscription business that bills on a schedule. It is not a debt-collection playbook: overdue loan recovery has its own rules, covered in the NBFC and loans playbook.
Tone and consent
Reminders about an amount the payer already owes you under an agreement are utility message templates. Keep them factual and polite: no threats, no public shaming, no mention of consequences beyond what your fee policy says. Meta rejects threatening or abusive templates, and a harsh tone gets your number blocked, which lowers its quality rating.
When the student is a minor, message the parent or guardian whose number you collected at admission, with their consent to receive fee and school updates on WhatsApp. Do not message children's own numbers about fees. Housing societies should use the numbers members registered with the society office, not numbers from a WhatsApp group.

Build it in Broadchat
- Connect Razorpay or PayU (WhatsApp payments) or PhonePe payment links under Payments → Payment Gateways.
- Create CRM → Super Field fields such as student_name, fee_amount, due_date and payer_ref, then load them with CRM → Imports from your fee list, or keep them in sync from Google Sheets with Automations → Workflow.
- Submit the four templates under CRM → WhatsApp Templates.
- Schedule the first notice in CRM → Bulk Campaign to a CRM → Segment of contacts tagged unpaid for that term, with the payment link generated per contact; payment requests appear under Payments → Payment Orders.
- In Chatbots → Chatbots, add a bot with the When Payment Transaction Complete trigger: send fee_payment_received, remove the unpaid tag, add a paid tag. Add a When Payment Transaction Fail bot that offers to resend the link.
- For the due-date and overdue reminders, use Retarget on the earlier campaign or rebuild the unpaid segment so paid contacts drop out automatically.
- Route Talk to accounts replies to an accounts team in Department → Departments, with Working Hours so the bot tells payers when to expect an answer.
Failure modes and fixes
- Reminder sent to someone who paid by cash or cheque: offline payments were not recorded. Ask the office to tag offline payments the same day, or run a sync before each reminder.
- Wrong amount after a concession: amounts were imported once and never updated. Re-import or sync before each campaign.
- Sibling confusion: one parent, two children. Send one message per child with the child's name, or one combined message that lists both.
- Too many reminders: keep to three automated messages per due date, then hand over to staff.
Illustrative ROI
Illustrative only: a coaching institute with 800 students on a ₹6,000 monthly fee usually has 160 payments late by more than a week. If clear reminders with a link bring 60 of those in on time, ₹3,60,000 arrives a week earlier each month, and the accounts team spends fewer hours phoning parents. Subtract Meta's utility charges for up to three reminders per unpaid student plus receipts, the payment gateway's fees and your platform subscription.
Agencies serving schools and societies can package this flow under their own brand through the partner program. More on running education on WhatsApp is in the education playbook.

What to measure
- Share of dues paid by the due date, compared with the same term or month last year.
- Paid within 48 hours of each reminder, to see which reminder in the sequence does the work.
- Number of reminders sent per payer, which should fall as more people pay from the first notice.
- Requests for instalments or fee queries handled in the inbox, and the time taken to answer them.
- Opt-outs and blocks after reminders, a signal that tone or frequency needs changing.

Frequently asked questions
Is a fee reminder a utility template?
Yes, when it concerns an amount the recipient already owes under an existing agreement, such as tuition, maintenance or a subscription. It stays utility only if it contains no promotions, such as early-bird offers for the next course.
Can parents pay inside WhatsApp?
Parents can pay through a payment link from Razorpay, PayU or PhonePe sent in the chat, and in India WhatsApp payments through supported gateways such as Razorpay and PayU. Never ask for card numbers, UPI PINs or OTPs in the chat.
How do I stop reminders once someone has paid?
Use the When Payment Transaction Complete chatbot trigger to tag the contact as paid and remove the unpaid tag. Later reminders go only to the unpaid segment, so paid contacts drop out automatically.
Should we message students directly about fees?
If the student is a minor, no. Send fee messages to the parent or guardian who gave consent at admission. Adult learners can receive their own fee reminders if they opted in.
How many fee reminders are reasonable?
Three automated messages per due date is a sensible ceiling: a notice a few days before, one on the due date and one gentle note after it. After that, a person from the accounts team should take over.
