In short

The WhatsApp Business app is a free phone app for a person or two answering chats; the WhatsApp Business API (Business Platform) connects your number to software so many agents, chatbots and other systems can use it. Switch when chats are being missed, questions repeat all day or you need automated notifications and reports.

Key takeaways

  • Both are official Meta products; they differ in who operates them and how much can be automated.
  • The app suits a small team on one phone; the API suits shared inboxes, chatbots and integrations.
  • Missed chats, repeated questions and the need for automated notifications are the usual signals to switch.
  • A number can move to the API completely or, where Meta offers it, keep the app through coexistence.
  • The API adds Meta's per-template-message charges and a platform subscription; the app is free.

Many businesses start on the free WhatsApp Business app and later hear they "need the API". Both are official Meta products, but they solve different problems. This comparison explains the differences in plain terms and helps you decide when moving to the WhatsApp Business Platform is worth it.

The short answer

If one or two people answer a manageable number of chats from a phone, the Business app is enough. If you need several agents on one number, automation, messages to large opted-in lists or integration with your store or CRM, you need the WhatsApp Business Platform (the API), used through software such as Broadchat.

When the Business app is enough

  • You are a small shop, freelancer or local service with a few dozen chats a day.
  • One or two people reply, usually from the same phone.
  • You rarely message customers first, and when you do it is to people who saved your number.
  • You do not need reports or integrations.

Signs it is time to switch

  • Chats are missed because only one phone can see them at a time.
  • You answer the same questions all day and want a chatbot to handle them.
  • You want to send order updates, reminders or campaigns automatically from your store or systems.
  • You need to know who received, read and replied to a message.
  • You are running Click-to-WhatsApp ads and need to handle the volume.

Moving your number to the platform

There are two ways to bring an existing number across:

  1. Move it completely. Delete the WhatsApp account on the number in the app (back up chats first if you want them), then connect the number through Embedded Signup. Your chat history in the app does not move to the platform.
  2. Use coexistence where available. In supported countries, Meta lets some businesses keep using the Business app on the same number while also connecting it to the platform. Availability and features differ, so check what applies to you before relying on it.

You will also need a Meta business portfolio and an approved display name. Our guide What is the WhatsApp Business API? covers the requirements, and Connect your WhatsApp number shows the steps in Broadchat.

Thinking about cost

The app is free; the platform has messaging charges and a subscription. The charges are per delivered template message and depend on category and country, while replies inside the 24-hour customer service window are free up to 1,000 per number each month (Meta's rule since 1 October 2026). For many businesses the time saved by automation and a shared inbox outweighs the cost. See WhatsApp API pricing for how the model works, and Meta's pricing page for current rates.

Frequently asked questions

Can I use the WhatsApp Business app and the API on the same number?

Traditionally no: a number could be active in only one place. Meta now offers a coexistence option in supported countries that lets some businesses use both; check availability for your number.

Will I lose my chats when I move to the API?

If you delete the account in the app to move the number, the app chat history does not transfer to the platform. Back it up first if you need it.

Do I get a green tick with the API?

Not automatically. A verified badge depends on Meta Verified or Official Business Account eligibility and Meta's review.

Is the API only for large companies?

No. With a hosted platform, small businesses can use it too. It makes sense as soon as you need a team inbox, automation or campaigns to opted-in customers.
