WhatsApp display name rules: what Meta approves, and why display names get rejected
Meta's display name guidelines for the WhatsApp Business Platform, turned into accepted and rejected examples for Indian brands, with the review timing, change limits and the fix for a declined name.

In short
WhatsApp display name rules come from Meta's display name guidelines: the name must represent your business, product or department, have a clear link to your legal name or visible branding, and follow WhatsApp policy. Generic words, bare place names, "Official" or "Verified", references to Meta or WhatsApp, promotional phrases and web or email addresses are not accepted. Meta reviews the name once your business qualifies for higher messaging limits; a declined name can be edited and resubmitted or appealed.
Key takeaways
- A display name must clearly represent your business, a product, a service or a department, and match your external branding or legal name.
- Generic terms, generic places, the words Official or Verified, Meta or WhatsApp references, offers and URLs are all grounds for rejection.
- If your brand name differs from your legal name, use "Brand by Company" or make the link visible on your website.
- Meta reviews the display name when your business becomes eligible for higher messaging limits, not necessarily on the day you connect.
- You can change a display name 10 times in 30 days and must re-register the number within 14 days of approval.
WhatsApp display name rules decide whether the name your customers see in chats is approved or declined. The rules are set out in Meta's display name guidelines for the WhatsApp Business Platform, which we checked on 12 October 2026. In short: the name must truthfully represent your business, it must connect clearly to your legal name or the branding people can find online, and it must not look like an advert, an endorsement or a web address. This article turns those guidelines into examples for Indian businesses, explains when the review happens, and shows how to fix a declined name.
Where the display name appears
You set a display name when you register a business phone number. It always appears on your WhatsApp business profile. According to Meta's developer documentation, it can also appear at the top of chat threads and in the chat list once the number's name is approved through display name verification. If a customer has saved your number in their phone with their own label, they will see their label instead.
When Meta reviews the name
Many businesses expect the review to happen during signup. It does not have to. Meta's Help Center says you can start sending messages without completing a display name review, and that the requested name becomes eligible for review once your business becomes eligible for higher messaging limits. The developer documentation puts it the same way: when you reach a higher messaging limit, the display name automatically goes through verification against the guidelines.
In practice this means the review usually follows one of the paths that take a business portfolio from the starting 250 tier to 2,000, such as business verification. Our article on WhatsApp messaging limits in 2026 explains those paths.
When the review finishes, Meta sends a phone_number_name_update webhook and a Meta Business Suite notification. The phone number's name_status becomes APPROVED or DECLINED.
The rules, with Indian examples
Meta groups its guidelines under three principles. The examples below are ours, adapted from Meta's own; they show how the rules apply, not how a particular review will turn out.
1. Comply with WhatsApp policies
The name must not break the WhatsApp Business Messaging Policy, and only divisions that comply with the Commerce Policy may have their own account. A sports shop called "Khel Sports" can use that name; "Khel Sports - Air Guns Section" invites rejection because weapons are a restricted category.
2. Represent the business accurately and clearly
| Usually accepted | Not accepted | Why |
|---|---|---|
| Rangoli Home | Home Decor | A generic term is not a business name |
| Rangoli Home Jaipur | Jaipur | A generic place on its own is not accepted |
| Rangoli Home Customer Care | Rangoli Home Official | "Official" suggests an endorsed status |
| Sunrise Clinic | Verified Sunrise Clinic | "Verified" misleads customers |
| Sunrise Clinic Appointments | Sunrise Clinic WhatsApp | Names must not reference Meta or its apps |
| Acme Coaching | Acme Coaching - 30% off fees | No advertising or promotional language |
| Acme Coaching | acmecoaching.in | No website or email formats |
| Acme Coaching | Best IIT Coaching in Kota | Promotional, and not the business name |
Meta accepts a name for a product, service or department as long as it stays associated with the business, such as "Rangoli Home Returns Desk". It also accepts a name for a test or demo account if that link is kept. If the name is a personal name, Meta says the nature of the business should be clear from external sources; "Dr Meera Rao" alone is risky, while "Dr Meera Rao Dermatologist" with a matching clinic website is much clearer.
3. Show a clear relationship with your legal name and external branding
This rule needs the most preparation, because meeting it can mean changing your website, not just the name:
- The name must have a clear relationship with your legal business name. If your company is "Shreeji Lifestyle Pvt Ltd" and you trade as "Rangoli Home", the link must be visible somewhere public, typically your website's footer, About page or invoices published online.
- If the link is not obvious, use "by". Meta's own pattern is "Brand by Company": "Rangoli Home by Shreeji Lifestyle" is acceptable where "Rangoli Home" alone might not be, if the website does not mention the company.
- The name must match external branding. Abbreviations are fine when consistent ("RH Decor" for Rangoli Home Decor), and so are a location or a person added to a recognisable brand ("Rangoli Home Pune", "Rangoli Home - Priya"). A name that cannot be found anywhere outside your WhatsApp account, such as "Digital Cloud Solutions" with no website using it, is not accepted.
Advice that goes beyond Meta's text
These are not written Meta rules; they are precautions that make the link to your business easier for a reviewer to see:
- Use normal capitalisation. "Rangoli Home", not "RANGOLI HOME". Meta's current guideline table does not mention capitals, but a name styled like a shout is less likely to match your website.
- Avoid emojis and decorative symbols. They rarely appear in a legal or brand name.
- Make the website do the work. Before you submit, check that the exact name appears on a live HTTPS website, ideally on the home page and in the footer next to the legal name.
- Keep one name across Meta assets. Your business portfolio, Facebook Page and WhatsApp profile using the same brand makes the link easy to see.
Why display names get declined, and the fix
| Likely reason | Example | Fix |
|---|---|---|
| Name not found on external sources | "Glow Studio" with no website | Publish the name on your website, or use "Glow Studio by [legal name]" |
| Generic word or place | "Sarees", "Surat" | Use your brand: "Kesar Sarees Surat" |
| Promotional wording | "Kesar Sarees Diwali Sale" | Remove the offer; put it in a template instead |
| Endorsement words | "Kesar Sarees Official" | Remove "Official" or "Verified" |
| Meta or WhatsApp reference | "Kesar Sarees on WhatsApp" | Remove the reference |
| URL or email format | "kesarsarees.in" | Use the brand name |
| Brand owned by another entity, link not shown | Agency number using a client's name | Show the relationship on a website, or let the client own the account |
When a name is declined, Meta's documentation says to review the guidelines and edit the display name, or file an appeal through Developer Support. If you suspect the reviewer could not find the link to your business, fix the website first and then resubmit.
Changing your display name
- You can change a display name up to 10 times in a 30-day period.
- Every change goes through verification again.
- After the new name is approved, re-register the phone number within 14 days so WhatsApp's servers use it. If you miss the 14 days, you must submit the name for review again. Re-registering before approval has no effect.
- In WhatsApp Manager, go to Account tools → Phone numbers, choose the number, open Profile and edit the Display name.
- If the number has Official Business Account status (the blue badge), you cannot change the name yourself; contact Meta direct support. See WhatsApp blue tick: Official Business Account vs Meta Verified.
Display names in Broadchat
When you connect a number under Channels → All Channels → + Add New Channel, you enter the display name in Meta's Embedded Signup window. Afterwards the channel card shows the number's status, and Broadchat shows a banner when the display name is under review or the number is restricted, so you know when to act. Our guide to getting the WhatsApp Business API in India covers choosing the name alongside the number and business portfolio, and the setup guide walks through the connection itself.

Frequently asked questions
Can I use my personal name as a WhatsApp display name?
Only if the nature of the business is clear from external sources. Meta's example is a personal name followed by the profession, backed by a website. A bare personal name with nothing public linking it to a business is likely to be declined.
Can I add my city to the display name?
Yes, alongside your brand, for example "Rangoli Home Jaipur". A city or region on its own is treated as a generic location and is not accepted.
Can I send messages before my display name is approved?
Yes. Meta says a display name review is not needed to get started. The name becomes eligible for review once your business qualifies for higher messaging limits.
How many times can I change my WhatsApp Business API display name?
Up to 10 times in a 30-day period. Each change is reviewed again, and once approved you have 14 days to re-register the number so the new name takes effect.
My display name was declined. What should I do?
Compare it with Meta's guidelines, especially the link to your legal name and website. Fix the website or the name, then edit and resubmit it in WhatsApp Manager, or file an appeal through Meta Developer Support if you believe the decision was wrong.
