How the flow works
The booking is made
A customer books through a WhatsApp chatbot that reads open slots from the Native Calendar, or your front desk adds the booking in your own system. Either way a booking confirmation goes out immediately with the date, time and address.
Reminder one, the day before
About 24 hours before the slot, a utility template reminds the customer and offers three quick replies: Confirm, Reschedule and Cancel. This is the reminder that saves the slot, because there is still time to refill it.
The reply updates the booking
Confirm tags the booking as confirmed. Reschedule opens a short chatbot that lists new slots from the calendar. Cancel frees the slot and asks an optional reason, so the desk can offer it to someone on the waiting list.
Reminder two, two hours before
A short nudge goes to everyone who has not cancelled, with the location link and any preparation note such as arrive 10 minutes early or bring previous reports.
No reply, a human decides
Bookings still unconfirmed after the first reminder appear in a segment for the front desk, who can call, overbook carefully or hold the slot according to their own rule.
Business: Hi Priya, this is a reminder of your appointment with Dr. Anjali Mehta at Sunrise Clinic, Andheri West, tomorrow, 14 Oct at 11:30 am. Please confirm or choose another time. [Confirm] [Reschedule] [Cancel]
Customer: Reschedule
Business: Sure. These slots are open with Dr. Mehta this week. Tap one to book it.
Business: [Wed 15 Oct, 10:00 am] [Wed 15 Oct, 4:30 pm] [Thu 16 Oct, 12:00 pm]
Customer: Wed 15 Oct, 4:30 pm
Business: Done, Priya. Your appointment is moved to Wednesday, 15 Oct at 4:30 pm. Your old slot has been released. We will remind you on Tuesday.
Customer: Do I need to bring my old reports?
Business: I will check with the clinic team. Someone from the front desk will reply here shortly.
How WhatsApp appointment reminders reduce no-shows
WhatsApp appointment reminders work because they turn a passive reminder into a decision: the customer confirms, picks another slot or cancels with one tap, and you learn about a free slot while there is still time to fill it. A missed slot is the costliest outcome for a clinic, salon or service centre; a cancellation the day before is far cheaper. The same flow fits a dental chair, a hair-colour appointment or a car service bay.
Reminders about a booking the customer made are utility message templates. Keep them strictly about the appointment. Adding a promotion, such as 20% off a facial, would make them marketing. Our template guide explains how Meta decides the category.
Timing that works
Two reminders are enough for most businesses:
- 24 hours before: the main reminder, with Confirm, Reschedule and Cancel. It gives you a day to refill the slot.
- 2 hours before: a short nudge with the map link and preparation notes. Skip it for customers who already confirmed if you want to send fewer messages.
For bookings made less than a day ahead, send only the confirmation and the 2-hour nudge. For long procedures or home visits, add a reminder three days before. Avoid reminders late at night; schedule them within your working hours.

Build it in Broadchat
- In Automations → Calendar, add an event type per service (for example Consultation, 20 minutes; Hair colour, 90 minutes) with weekly availability, slot interval, booking window and bookings per slot. Copy its Event ID.
- Submit the templates under CRM → WhatsApp Templates with real sample values.
- In Chatbots → Chatbots, build a booking bot: a Match Keyword trigger on book, an Ask Question step for the service, then the Native Calendar app (added through Add Automation App) to fetch open slots and create the booking. Finish with the booking_confirmed template.
- For the reminders, use Automations → Workflow with the Native Calendar app and Delay steps timed against the booking, or, if bookings live in your own system, have it call the Broadchat API at the right time.
- Add Match Keyword branches for Confirm, Reschedule and Cancel: tag the contact, update or cancel the booking, and use Assign to Agent for free-text questions.
- Build a CRM → Segment of contacts tagged reminder-sent but not confirmed, for the front desk to call.
Failure modes and fixes
- Reminder for a cancelled booking: reminders were scheduled once and never re-checked. Check the booking status just before each send.
- Wrong time shown: the event type uses the wrong timezone. Set Asia/Kolkata (or your clinic's timezone) on every event type.
- Customers type instead of tapping: add an AI Intent Detector or keywords such as yes, ok and coming, and send the rest to a person.
- Template rejected: variables without real samples, or the body starts or ends with a variable. Fix the wording and resubmit; review can take up to 24 hours.
Illustrative ROI
Illustrative only: a two-doctor clinic books 600 consultations a month at ₹600 each and sees about 60 no-shows. If reminders turn 25 of those into confirmed visits or early cancellations that get rebooked, that is ₹15,000 a month in recovered fees, plus less front-desk time on confirmation calls. Subtract Meta's utility charges for roughly two to three messages per booking and your platform subscription, then compare with your own no-show records.
Agencies that set up booking and reminder bots for many clinics or salons can sell them under their own brand through the partner program. For sector-specific advice, see the clinics and salons and spas playbooks.

What to measure
- No-show rate: booked slots where the customer neither came nor cancelled, compared with your pre-reminder baseline.
- Late cancellations recovered: slots freed by a Cancel reply that were rebooked the same day.
- Reply rate to the 24-hour reminder, split by Confirm, Reschedule and Cancel.
- Front-desk calls per day spent confirming appointments, before and after.
- Share of reschedules completed by the chatbot without staff help.

Frequently asked questions
Is an appointment reminder a utility or marketing template?
Utility, when it only concerns a booking the customer made: the date, time, place and options to confirm, reschedule or cancel. Adding offers or upsells makes it marketing.
When should I send appointment reminders?
A main reminder about 24 hours before, with confirm, reschedule and cancel buttons, and a short nudge about 2 hours before. For same-day bookings, the confirmation and the 2-hour nudge are enough.
Can customers pick a new slot inside WhatsApp?
Yes. A chatbot can read open slots from the Native Calendar, offer them as buttons or a list, and move the booking when the customer taps one. A WhatsApp list can show up to 10 options, so offer the nearest slots first.
Can I use reminders if bookings are in my own clinic software?
Yes. Your software can call the Broadchat API to send the templates at the right time, and button replies can be posted back to it through a webhook from a chatbot or workflow.
Do reminders cost money if the patient messaged us that day?
Yes. Since 1 Oct 2026 Meta charges utility templates even inside an open customer service window. Check current rates on the WhatsApp API pricing page.
