WhatsApp API for real estate: reply to property leads fast and fill site visits
A working playbook for builders, channel partners and brokers: answer portal and ad leads in seconds, qualify on budget and location, book site visits and follow up until booking.

The problems WhatsApp solves for real estate developers and brokers
Leads go cold within the hour
A lead from a property portal or a Meta ad is usually enquiring with three or four projects at once. The first developer to reply with a brochure and a price range tends to get the site visit, and a callback the next morning is often too late.
Sales teams spend calls on unqualified enquiries
Many enquiries are for the wrong budget, the wrong micro-market or a possession date years away. Without a quick qualification step, closing managers spend their day dialling people who were never going to buy this project.
Site visits are booked but not attended
Weekend site visits are where bookings happen, yet visitors forget, get the location wrong or postpone without telling anyone. Each empty slot wastes a sales manager's afternoon and the cab arranged for the visitor.
Follow-up stops after the first visit
Property decisions take weeks or months. Brokers lose track of who saw which unit, who asked for a revised cost sheet and whose loan was in process, so warm buyers drift to another project.
Brochures and price sheets go out of date
Price revisions, new towers and offer periods change often. When each salesperson forwards their own copy of a PDF from their phone, buyers receive old prices and the company has no record of what was promised.
How real estate teams use WhatsApp
The whatsapp api for real estate is mainly a speed and follow-up tool: it replies to a new property lead within seconds with a brochure and two qualifying questions, books the site visit against real slots, reminds the visitor the evening before, and keeps every cost sheet and payment reminder in one written thread. Builders, channel partners and brokers use the same pattern; what changes is the volume and how many projects share one number.
WhatsApp suits property sales because buyers already share floor plans, location pins and walkthrough videos there with family before deciding. The WhatsApp Business API adds what the phone app cannot: several sales managers on one number, a chatbot that works at 11 pm when most portal leads arrive, and automatic messages triggered from your CRM.
Message templates to get approved first
Messages you start outside the 24-hour customer service window need an approved message template. Submit these five early, because review can take up to 24 hours. Sample values are shown in brackets after each sample.
| Template name | Category | Sample |
|---|---|---|
lead_welcome_brochure | Utility | Hi {{1}}, thank you for your enquiry about {{2}}. The brochure is attached. Reply here with any question. (Rohit; Green Meadows, Wakad) |
site_visit_confirmed | Utility | Hi {{1}}, your site visit to {{2}} is confirmed for {{3}}. Your relationship manager is {{4}}. (Sneha; Green Meadows; Sun 19 Oct, 11:00 am; Arjun) |
site_visit_reminder | Utility | Hi {{1}}, a reminder of your visit to {{2}} tomorrow at {{3}}. Tap Reschedule if your plans change. (Sneha; Green Meadows; 11:00 am) |
payment_milestone_due | Utility | Dear {{1}}, the {{2}} milestone for flat {{3}} is due on {{4}}. The demand letter is attached. (Anita; slab completion; A-704; 5 Nov 2026) |
new_tower_launch | Marketing | Hi {{1}}, bookings for {{2}} open on {{3}}. Reply VISIT to book a slot or STOP to opt out. (Vikram; Tower C; Saturday 25 Oct) |
price_revision_notice | Marketing | Hi {{1}}, prices at {{2}} will be revised from {{3}}. Book a visit this week to see current inventory. (Meera; Green Meadows; 1 Nov) |
Keep the brochure template free of offers. Once it mentions a discount or a limited-period price, Meta treats it as marketing. The template guide explains how categories are decided.
Chatbot flow outline
- Trigger: Inbound Webhook (portal or website lead) and Click to WhatsApp Ads (ad leads), plus New Message for people who write in directly.
- Send Message: greet by name, attach the project brochure PDF.
- Ask Question: budget as three buttons; preferred location as a list of up to 10 micro-markets; purchase timeline as buttons.
- Save Variable Value: store budget, location and timeline in custom fields; tag the contact with the project.
- AI Intent Detector: catch free-text questions such as price, possession or loan, and answer common ones with Trained AI from the project FAQ.
- Native Calendar (via Add Automation App): show the next available weekend slots and create the booking.
- Working Hours: inside hours, Assign to Agent for the project's closing manager; outside hours, promise a call the next morning.
- Send Conversion Event: report Lead Submitted or Qualified Lead back to Meta for ad optimisation.
Broadchat features to use
- Lead Source to record where each lead came from; Chatbots → Chatbots for the qualification flow.
- Automations → Calendar to define a site-visit event type with weekly availability, slot interval and bookings per slot, so you never book more visitors than managers.
- CRM → Super Field for budget, location, BHK and timeline; CRM → Segment to build "2 BHK, Wakad, under ₹80 lakh" audiences.
- CRM → Boards for the post-visit pipeline; CRM → Live Chat where managers reply with CRM → Canned Replies for parking, amenities and loan partners.
- Department → Departments to split projects or languages across teams; CRM → Bulk Campaign with Retarget for launch campaigns.
- Dynamic Experience → PDF Experience to generate a personalised cost sheet per buyer instead of editing PDFs by hand.
Illustrative ROI
The numbers below are illustrative, not a forecast. Suppose a developer receives 600 leads a month and 60 book site visits, of which 15 do not turn up. If automatic reminders and easy rescheduling bring 6 of those 15 visitors back, and one in ten attended visits leads to a booking, that is roughly 0.6 extra bookings a month. On an average brokerage or margin of ₹2,50,000 per booking, that is about ₹1,50,000 a month. Subtract the Meta charges for the templates you send and the platform subscription; see how WhatsApp API pricing works. Measure your own no-show rate for a month before you start, so the comparison is real.
When this is not the right fit
A broker handling a few enquiries a week from one phone may be fine on the WhatsApp Business app; the app vs API comparison covers the trade-off. The API pays off when several people answer one number, leads arrive from many sources, or you want automatic reminders. Property marketing agencies can run this playbook for many developers under their own brand through the partner program.
Use cases with example messages
Instant reply to portal and ad leads
Push each new lead from your portal email parser, landing page or CRM into Broadchat through an Inbound Webhook. A chatbot greets the buyer by name within seconds, shares the project brochure and asks two qualifying questions. Leads from Click-to-WhatsApp ads start the same flow directly.
Reply inside the 24-hour window
Business: Hi Rohit, thank you for your enquiry about Green Meadows, Wakad. Here is the brochure with 2 and 3 BHK floor plans. To share the right options, what budget are you considering? [Under ₹80 lakh] [₹80 lakh to ₹1.2 crore] [Above ₹1.2 crore]
Example message Site-visit confirmation and reminder
When a visit is booked, send a utility template with the date, time, project address and a Google Maps link, then a reminder the evening before with buttons to confirm or reschedule.
utility template
Business: Hi Sneha, your site visit to Green Meadows, Wakad is confirmed for Sunday 19 Oct at 11:00 am. Location: maps.app.goo.gl/gm-wakad. Your relationship manager is Arjun (98220 41567). [Confirm] [Reschedule]
Example message Cost sheet and document sharing
After the visit, the sales manager sends the unit-specific cost sheet as a PDF from the shared inbox, so the buyer has it in writing and the company has a record of exactly what was sent.
utility template
Business: Hi Sneha, as discussed, here is the cost sheet for flat B-1203 (3 BHK, 1,240 sq ft carpet). The agreement value is ₹1,08,40,000 plus stamp duty and registration. Arjun will call you on Tuesday to answer questions.
Example message New launch and offer campaigns
Announce a new tower, a festive offer period or a price revision to opted-in contacts whose saved budget and preferred location match. Keep these to a few a month and send them as marketing templates.
marketing template
Business: Hi Vikram, bookings for Tower C at Green Meadows, Wakad open this Saturday. 2 BHK homes from ₹74 lakh, possession Dec 2028. Reply VISIT to book a slot or STOP to stop project updates.
Example message Payment-milestone and demand-letter reminders
For buyers who have booked, send construction-linked payment reminders with the demand letter attached, and confirmations when payment is received. These relate to an existing booking, so they are utility messages.
utility template
Business: Dear Anita, the slab-completion milestone for flat A-704 is due on 5 Nov 2026. Amount due: ₹6,42,500 as per your payment plan. The demand letter is attached. Reply HELP to speak to our CRM team.
Example message Rental and resale broker follow-up
Brokers handling resale and rentals can tag each contact with locality, BHK and budget, then share matching listings by hand from the inbox when new inventory comes in, instead of broadcasting every listing to everyone.

A rollout playbook
Connect lead sources first
Route portal leads, website forms and Click-to-WhatsApp ads into one number. Record each origin under Lead Source so you can later see which channel produces site visits, not just enquiries.
Qualify in three questions
Budget, preferred location and purchase timeline are enough to route most leads. Save each answer to a custom field so segments and campaigns can use it later.
Assign by project and language
Send qualified leads to the closing manager for that project, in the buyer's language, with the chat history attached. Unqualified leads get a polite reply and stay in the database for future launches.
Automate visit confirmations and reminders
Book visits against a calendar with slot limits, then send the confirmation immediately and a reminder the evening before. Rescheduling requests go straight to the manager.
Run a post-visit follow-up board
Move every visitor through a Kanban board of stages such as visited, cost sheet sent, negotiation, booked and lost, so no warm buyer is forgotten.
Add launch campaigns carefully
Send launch and offer messages only to opted-in contacts whose budget and location fit, and watch your quality rating after each send before widening the audience.
Compliance notes
- Quote the RERA registration number of the project in brochures and launch messages where your state's rules require it, and never promise returns, appreciation or possession dates you cannot support in writing.
- A portal or ad enquiry is consent to discuss that enquiry, not blanket consent to every future launch. Ask separately before adding a lead to marketing campaigns, and record the answer on the contact.
- Honour STOP and similar replies across all projects and campaigns, including those of sister projects run on the same number.
- Do not collect PAN, Aadhaar or bank details as plain chat text. Use a secure upload link from your booking system and restrict who in the team can see those chats.
- Keep payment-milestone reminders factual and polite. Threatening language breaks Meta's policy and gets templates rejected.
- Purchased or scraped phone lists are not opt-in. Messaging them damages your quality rating and can get the number restricted.

Frequently asked questions
Can I reply to 99acres, MagicBricks or Housing.com leads automatically on WhatsApp?
Yes, if you can get the lead into Broadchat as data. Most teams forward portal lead emails or CRM entries to an Inbound Webhook, which starts the chatbot. The first message is a utility template, because the person has not written to you on WhatsApp yet.
Are site-visit reminders marketing or utility messages?
Utility, as long as they only confirm or remind about a visit the buyer booked. If you add an offer or a pitch for another project, Meta can re-categorise the template as marketing.
Can several projects share one WhatsApp number?
Yes. Tag each contact with the project and use departments to route chats to the right sales team. Some developers prefer one number per brand so the display name matches what buyers see on hoardings.
How many launch messages can I send in a day?
That depends on your messaging limit, which Meta sets per business portfolio and raises step by step from 250 unique people a day as your quality stays high. Read the guide to quality rating and messaging limits before a large launch.
Can I keep using my number on the WhatsApp Business app?
In India, coexistence lets a number stay on the WhatsApp Business app while it is connected to the API, with some features turned off in the app. Throughput is lower on such numbers, which matters only for very large launches.
