The problems WhatsApp solves for gyms, yoga studios and fitness centres

  • Trial leads are followed up too late

Enquiries from Instagram ads and Google arrive in the evening when the front desk is busiest. By the time someone calls back the next day, the prospect has booked a trial at another gym.

  • Popular classes overflow, others run empty

The 7 am Zumba and the Saturday HIIT batch are full while midday slots are empty. Bookings by phone or a personal WhatsApp group make it hard to cap numbers fairly.

  • Memberships lapse without a conversation

Members whose plan expires simply stop coming. Nobody reminds them a week ahead, and the renewal conversation never happens.

  • Trainers answer from personal phones

Members message trainers directly about diets, injuries and schedules. When a trainer leaves, the relationship goes too, and the gym has no oversight of the advice given.

What WhatsApp does for a gym

The WhatsApp API for gyms handles the three conversations that decide revenue: converting trial enquiries, filling classes without overbooking and renewing memberships before they lapse. A chatbot books trials and classes against real capacity, reminders go out before expiry with a payment request, and trainers answer members from a shared inbox instead of personal phones. It suits gyms, yoga and pilates studios, CrossFit boxes and multi-branch fitness chains. A solo trainer with 30 clients can manage on the WhatsApp Business app.

"Renew now to keep your slot and locker" is a factual reminder; "renew now and get 20% off" is a promotion and makes the template marketing. Keep discounts in a separate template. The template guide explains categories in detail.

Chatbot flow outline

  1. Click to WhatsApp Ads trigger for ad leads and New Message for everyone else.
  2. Ask Question with buttons: Book a trial, Book a class, Renew membership.
  3. Book a trial: Ask Question for goal and preferred time, Save Variable Value to custom fields, then the Native Calendar app (via Add Automation App) shows free trial slots and creates the booking; Send Conversion Event reports a Lead Submitted event for ad optimisation.
  4. Book a class: the bot checks the member's plan field, lists today's classes with seats left and books one; full classes show the next available slot.
  5. Renew: Send Message of type Payment with the renewal amount; When Payment Transaction Complete updates the expiry date and sends the receipt.
  6. Hot Keywords such as injury, pain, diet or trainer trigger Assign to Agent to the member's trainer.
  7. Working Hours sets expectations outside desk hours.

Broadchat features to use

  • Automations → Calendar: event types per class format with weekly availability, slot interval and bookings per slot; the bookings list is the attendance sheet.
  • CRM → Super Field: plan, start date, expiry date, branch, assigned trainer, goal.
  • CRM → Segment: members expiring in the next 7 days, lapsed for 30 days, or trial no-shows.
  • CRM → Bulk Campaign: Repeat campaigns for weekly timetables and Retarget for people who read a renewal reminder but did not pay.
  • Payments → Payment Gateways and Payments → Payment Orders: Razorpay or PayU WhatsApp payments, or PhonePe links, with each payment tied to the member.
  • Department → Departments: front desk, trainers and branch managers, so chats reach the right person.
  • CRM → Live Chat on desktop and mobile for trainers.

Illustrative ROI

Illustrative only. A gym with 900 members has 150 memberships expiring each month at an average renewal of ₹6,000. If timely reminders with a payment button help renew 15 more members who would otherwise have drifted away, that is ₹90,000 in renewals. Subtract Meta's charges for the reminders and receipts (utility templates are charged, including inside an open window, and service messages beyond 1,000 per number a month are charged) and your platform subscription. Our WhatsApp API pricing explainer covers the message charges. Measure your renewal rate for three months before and after to check the effect.

Getting started

Connect the number using the setup guide, create class event types, then build the trial bot. The appointment reminders use case covers reminder timing and the re-engagement campaigns use case covers win-backs. Agencies that run marketing for fitness brands can offer this under their own brand through the partner program.

Use cases with example messages

  • Free trial booking from ads

A Click-to-WhatsApp ad opens a chat where the bot asks the goal, preferred time and branch, then books a trial slot and confirms it.

    Reply inside the 24-hour window

    1. Business: Welcome to Iron Pulse Fitness, Karan. What is your main goal? [Lose weight] [Build strength] [General fitness]

    Example message
  • Trial and class booking confirmation

Each booking gets a confirmation and a reminder two hours before, with a button to cancel so the slot goes to someone on the waitlist.

    utility template

    1. Business: Hi {{1}}, you are booked for {{2}} on {{3}} at {{4}}. Please arrive 10 minutes early with a towel and water bottle. [Cancel booking] Sample: Karan, Free trial session, 15 Oct 2026 7:00 am, Iron Pulse Fitness Andheri West

    Example message
  • Membership expiry reminder

Seven days and one day before expiry, the member gets a reminder with their plan and a payment request to renew without visiting the desk.

    utility template

    1. Business: Hi {{1}}, your {{2}} membership ends on {{3}}. Renew now to keep your slot and locker. Renewal amount: ₹{{4}}. Sample: Divya, Quarterly Gold, 31 Oct 2026, 7,500

    Example message
  • Payment receipt

When the payment completes, the member receives a receipt with the new validity dates.

    utility template

    1. Business: Hi {{1}}, we received ₹{{2}}. Your {{3}} membership is now valid until {{4}}. Receipt no. {{5}}. Sample: Divya, 7,500, Quarterly Gold, 31 Jan 2027, IPF-R-2210

    Example message
  • Win-back for lapsed members

Members who did not renew and opted in to offers can receive one marketing message with a comeback offer, a month after expiry.

    marketing template

    1. Business: Hi {{1}}, we miss you at Iron Pulse! Come back this month and get {{2}} free with any quarterly plan. Reply YES to book a visit or STOP to opt out. Sample: Rahul, 2 personal training sessions

    Example message
  • Trainer hand-off for fitness questions

Questions about diet, injuries or progress are assigned to the member's trainer inside the shared inbox, so advice is given by a qualified person and kept on record.

A rollout playbook

  1. Set up classes with capacity

Create an event type for each class format with its weekly timetable, slot interval and bookings per slot equal to the room or equipment capacity.

  2. Answer ad leads in the first minute

Point Click-to-WhatsApp ads at a trial-booking bot. The faster a prospect gets a slot, the more likely they turn up.

  3. Store membership dates on every contact

Import members with plan, start date, expiry date, branch and trainer as custom fields so renewals and segments work.

  4. Automate renewals with payment

Send the expiry reminder with a payment request, and let the payment trigger update the expiry date and send the receipt.

  5. Give trainers the shared inbox

Trainers reply from the team inbox or mobile app instead of personal numbers, with chats assigned to them by the bot.

  6. Keep offers occasional

Send win-back or festive offers only to opted-in contacts and not more than a couple of times a month.

Compliance notes

  • Health information such as injuries, medical conditions or weight goals is sensitive. Collect only what trainers need, limit inbox access by role and never repeat health details in templates.
  • Do not let the chatbot give medical or dietary advice; route those questions to qualified trainers or suggest the member consult a doctor.
  • Under the DPDP Act 2023, state why you collect member data, use it only for that purpose and delete it on request or when no longer needed.
  • Do not make claims such as "lose 10 kg in 30 days" in campaigns; results vary and such claims can mislead.
  • Membership reminders do not give marketing consent. Ask separately for offers and honour STOP replies.

Frequently asked questions

Can members book classes on WhatsApp without an app?

Yes. The chatbot lists today's classes with seats left and books the member into one. Bookings per slot in the Native Calendar stop a class going over capacity.

Is a membership renewal reminder marketing or utility?

A reminder that the member's own plan is about to expire, with the renewal amount, is generally utility. Adding discounts or upsells makes it marketing, so keep offers in a separate template.

Can trainers use the system from their phones?

Yes. Trainers log in to the shared inbox or the mobile app and see only the chats assigned to them, so members still get personal replies but the history stays with the gym.

Can members pay for renewal inside WhatsApp?

Yes, through a payment request from Razorpay or PayU WhatsApp payments, or a PhonePe payment link. When the payment completes, an automation updates the expiry date and sends the receipt.

How do we follow up trial no-shows?

Build a segment of trial bookings with no check-in and send one utility template offering to reschedule. If they do not reply, stop; repeated chasing leads to blocks.
