In short

WhatsApp vs SMS vs email is not a contest with one winner. WhatsApp suits conversations, rich order updates and offers to opted-in customers who use WhatsApp; SMS reaches any mobile, including feature phones, and remains the safest fallback for OTPs; email is best for long content, documents people file away and newsletters. Most Indian businesses do best with WhatsApp first for chats and updates, SMS as a fallback, and email for records and long reads.

Key takeaways

  • WhatsApp is the only one of the three where customers can reply, browse buttons and pay inside the same thread, but it needs opt-in, approved templates and the WhatsApp app.
  • Commercial SMS in India requires DLT registration of your business, sender headers and message templates under TRAI's TCCCPR 2018.
  • Since 1 February 2024, anyone sending more than 5,000 emails a day to Gmail needs SPF, DKIM, DMARC and one-click unsubscribe.
  • Meta charges per delivered WhatsApp template message by category; utility and authentication cost far less than marketing.
  • Use a fallback order for critical messages, for example WhatsApp first and SMS if the WhatsApp message is not delivered.

Choosing between WhatsApp vs SMS vs email starts with the message, not the channel. An OTP, a delivery update, a Diwali offer and a GST invoice have different jobs, and each channel is good at different jobs. This article gives Indian businesses a decision table by message type, explains the rules each channel must follow, and shows how to combine them so a customer gets the right message on the right app.

WhatsApp: conversation, buttons and payments in one thread

WhatsApp's strength is that the customer can answer. A delivery update can carry a Reschedule button, an offer can open a product list, and a reminder can be answered with a voice note. With the WhatsApp Business API (the WhatsApp Business Platform on Meta's Cloud API), a team, a chatbot and your store systems can share one number.

The rules that shape it:

  • Opt-in. WhatsApp's Business Messaging Policy requires the customer's opt-in to receive messages from your named business, and you must honour opt-outs.
  • Templates outside the window. To start a conversation, or to message someone who has not written in the last 24 hours, you must use a message template Meta has approved.
  • Limits. Your business portfolio can reach a limited number of new people per day (250, then 2,000, 10,000, 100,000 and unlimited), and WhatsApp caps how many marketing messages each person receives, based on their engagement.
  • Reach. The customer needs WhatsApp installed and an internet connection.

Cost. Meta charges per delivered template message by category and the customer's country. For India, Meta's rate card effective 1 Oct 2026 lists ₹0.8631 per delivered marketing message and ₹0.115 per utility or authentication message, excluding GST. Replies inside the 24-hour customer service window are free up to 1,000 per business phone number per month, then charged. Your provider's fees come on top. See WhatsApp API pricing and the pricing calculator.

SMS: universal reach, tight rules

SMS reaches every mobile phone, including feature phones, and needs no data. That makes it the safest fallback for OTPs and critical alerts, and the right first channel in segments where many customers do not use WhatsApp.

Commercial SMS in India is governed by TRAI's Telecom Commercial Communications Customer Preference Regulations, 2018 (TCCCPR). Under this framework, businesses register on a telecom operator's DLT (distributed ledger) platform as a principal entity, register their sender headers (the six-character IDs such as RNGLHM), and register message templates before sending. Promotional messages are also subject to the customer's preferences recorded with their operator. Messages that do not match a registered template are blocked by the operator.

SMS limits to plan around: plain text only, no buttons, no images, and replies are awkward or impossible on most sender IDs. Prices vary by provider and route, so compare quotes from DLT-registered providers rather than relying on headline rates.

Email: long content, records and low cost at volume

Email is still the best home for content people read slowly or file away: invoices, statements, policy documents, detailed newsletters and onboarding sequences. Customers search their inbox months later; they rarely scroll back through a chat for a PDF.

Deliverability is the main constraint. Google's email sender guidelines, in force since 1 February 2024, require anyone sending more than 5,000 messages a day to Gmail accounts to:

  • authenticate with SPF, DKIM and DMARC, with the From domain aligned;
  • support one-click unsubscribe in marketing messages and show a visible unsubscribe link;
  • keep the spam rate reported in Postmaster Tools below 0.30%.

Email's weakness for many Indian customers is attention: plenty of people check WhatsApp many times a day and email rarely, especially outside office jobs. Test with your own audience before deciding.

How to combine them

  • Critical messages get a fallback. For OTPs, send on WhatsApp first and fall back to SMS if the WhatsApp message is not delivered within a short wait. Your OTP service or automation needs to check the delivery status before it falls back.
  • One channel per job. Order updates on WhatsApp, invoices by email, offers on WhatsApp to opted-in customers and in the email newsletter. Do not send the same promotion on all three on the same day.
  • Separate consent per channel. A customer who agreed to email newsletters has not agreed to WhatsApp offers. Collect WhatsApp opt-in on its own; see how to build a WhatsApp opt-in list.
  • Use WhatsApp to start, email to keep. Send the order confirmation on WhatsApp and the tax invoice by email, then reply to questions in the chat.

A worked example: Sunrise Clinic, Jaipur (illustrative)

Illustrative. Sunrise Clinic sends appointment reminders and lab-report alerts as WhatsApp utility templates, because patients reply to reschedule. Older patients who do not use WhatsApp are tagged, and their reminders go by SMS from a DLT-registered template. Invoices and detailed lab reports go by email with the PDF attached, with a WhatsApp message saying the report has been emailed. Health-camp announcements go on WhatsApp only to patients who opted in to updates, and in a monthly email to subscribers.

Where Broadchat fits

Broadchat is a WhatsApp Business API platform; it does not send SMS or marketing email. It handles the WhatsApp side: templates, broadcast campaigns, chatbots, a shared inbox and webhooks that your SMS or email system can use, for example to trigger an SMS fallback when a message fails. For the overall plan, see the WhatsApp marketing strategy for Indian businesses. Agencies that already sell SMS or email can add WhatsApp under their own brand through the partner program.

Frequently asked questions

Is WhatsApp better than SMS for OTPs in India?

WhatsApp authentication templates offer copy-code and one-tap buttons and are charged at a low rate, but they need WhatsApp and data. SMS reaches every phone. Many businesses send the OTP on WhatsApp first and fall back to SMS if it is not delivered.

Do I need DLT registration to send WhatsApp messages?

No. DLT registration under TRAI's TCCCPR applies to commercial SMS and voice calls on Indian telecom networks. WhatsApp messages follow WhatsApp's own rules: opt-in, approved templates for business-initiated messages, and messaging limits.

Can I send the same promotion on WhatsApp, SMS and email?

You can, if the customer agreed to each channel, but it usually annoys people and increases blocks on WhatsApp. Pick one channel per message, or space them out and send different content on each.

Which is cheapest: WhatsApp, SMS or email?

Email is usually cheapest per message at volume. For WhatsApp, Meta charges per delivered template message by category; for India its rate card effective 1 Oct 2026 lists ₹0.115 per utility message and ₹0.8631 per marketing message, excluding GST, plus provider fees. SMS prices depend on the provider and route.
