In short

Good WhatsApp chatbot templates share one shape: a clear trigger, three to five questions answered with buttons or lists, answers saved to contact fields, a tag that says what happened, and a hand-off to a person. Below are ten flows by industry in that shape, with the follow-up message template each one needs once the 24-hour window closes.

Key takeaways

  • Every flow below has one goal; bots that try to answer everything end up answering nothing well.
  • Start each flow with a keyword or a Click-to-WhatsApp ad trigger, and print the keyword where customers will see it.
  • Save answers to contact fields and add a tag at the end, so campaigns and segments can use what the bot learned.
  • Each flow ends with a person or a clear next step; a 'Talk to us' option belongs on every menu.
  • Follow-ups after 24 hours need an approved template: plan its category (utility or marketing) when you design the bot.

How to read these WhatsApp chatbot templates

These WhatsApp chatbot templates are flow outlines, not files to import: each takes 30 to 90 minutes to build in a visual builder once your texts are ready. Step names match Broadchat's chatbot builder (Chatbots → Chatbots → Create Botflow), but the logic works on any WhatsApp Business API platform with a flow builder. For a full walk-through of building one, see how to build a WhatsApp chatbot without code.

Three conventions used below:

  • Buttons means an Ask Question step of type Interactive with up to three reply buttons; List means up to ten rows. Each option has its own branch.
  • Saved to means the Ask Question's Save Response to setting, usually a CRM Super Field you create first in CRM → Super Field.
  • Tag means an Add Automation App → CRM → Assign Tags to Contact (Creates Tag if Tag not exist) step.

All bot messages are replies inside the 24-hour customer service window. The last line of each flow names the approved message template you will need when you follow up later.

1. Coaching institute: admission enquiry

Trigger: Match Keyword, Contains admission OR course (the same word goes in the QR code on your hoardings).

  1. List: JEE, NEET, Foundation (Class 8-10), Crash course, Talk to a counsellor. Saved to course_interest.
  2. Send Message → Document: the fee brochure for the chosen course.
  3. Buttons: Class 10 / Class 11 / Class 12 or dropper. Saved to current_class.
  4. Buttons: Book a free demo / Call me / Not now. Tag demo-requested or nurture.
  5. Working Hours → Assign to Agent (Admissions).

Follow-up template: a utility message confirming the demo slot they booked. The education playbook covers fee reminders and parent notices.

2. Clinic: appointment booking

Trigger: Match Keyword, is hi OR Contains appointment; plus a Hot Keywords bot on reception.

  1. List: Book appointment, Doctor timings, Lab reports, Clinic location, Talk to reception.
  2. Book: Buttons for doctor or department, then the Native Calendar app's Fetch Available Slots for an event type set up in Automations → Calendar, a Send Message with the returned slots_text, an Ask Question for the preferred time (Text, with a RegExp such as ^[0-2][0-9]:[0-5][0-9]$), and Create New Booking for that slot.
  3. Ask Question, Text: patient name and age. Saved to the contact name and patient_age.
  4. Send Message: confirmation with date, time and the clinic's Google Maps link (Send Message → Location).
  5. Any symptom question typed in free text: Assign to Agent (Reception). The bot never gives medical advice.

Follow-up template: a utility appointment reminder the day before; see appointment reminder templates.

3. Restaurant: menu and table booking

Trigger: Match Keyword, Contains menu OR table.

  1. Buttons: See menu / Book a table / Order delivery.
  2. See menu: Send Message → Document (menu PDF) or Image, then Buttons: Book a table / Call us.
  3. Book a table: List of dates (Today, Tomorrow, the next five days), Buttons for lunch or dinner, List for party size (2, 3-4, 5-6, 7-10, larger group).
  4. Saved to booking_date, booking_slot, party_size; Send Message confirms that the restaurant will confirm availability.
  5. Assign to Agent (the manager on shift) to confirm; Working Hours sends an honest "we confirm bookings from 11 am" message at night.

Follow-up template: a utility booking confirmation; marketing offers only to guests who opted in. More in WhatsApp API for restaurants.

4. D2C brand: order tracking and product help

Trigger: Match Keyword, Contains order OR track; separately, the When Order Status Update trigger for orders managed in Broadchat's ecommerce module.

  1. Buttons: Track my order / Return or exchange / Product question.
  2. Track: Native Ecommerce Actions → Get Orders of Current User for orders in Broadchat's ecommerce module, or an Add Automation App → Google Sheet → Lookup Spreadsheet Rows step if order status lives in a sheet.
  3. Return or exchange: Ask Question, Text for the order number (RegExp validation for your order format), then Image for a photo of the item. Tag return-request, Assign to Agent (Support).
  4. Product question: Trained AI with an agent whose instructions cover sizes, materials and care, with a hand-off for anything about refunds.

Follow-up template: utility order and shipping updates (order update templates).

5. Real estate: property enquiry from ads

Trigger: Click to WhatsApp Ads, with the Meta Ad ID of each project's ad (leave empty to catch every ad). The ad headline is available as {{ad_headline}}.

  1. Buttons: 2 BHK / 3 BHK / Plots or other.
  2. List of budget ranges in lakh or crore. Saved to budget.
  3. Buttons: Ready to move / Within 6 months / Just exploring. Saved to timeline.
  4. Buttons: Book a site visit / Send brochure / Call me. Tag site-visit or brochure.
  5. Site visit or Call me: Assign to Agent by project; Send Conversion Event so the ad learns which chats became leads.

Follow-up template: utility site-visit confirmation; marketing for new launches only to people who opted in. Since a reply to a Click-to-WhatsApp ad opens Meta's free entry point window for up to 7 days, do the qualification and first call inside that week.

6. Salon or spa: booking and service menu

Trigger: Match Keyword, Contains book OR price; Hot Keywords menu.

  1. List: Haircut and styling, Colour, Facial and skin, Bridal, Talk to the salon.
  2. Send Message → Image: the price card for that category.
  3. List of dates, then Buttons: Morning / Afternoon / Evening. Saved to preferred_slot.
  4. Buttons: Any stylist / A specific stylist. Specific: Ask Question, Text for the name.
  5. Assign to Agent (front desk) to confirm the exact time. Tag bridal-lead for bridal enquiries, which deserve a call.

Follow-up template: utility appointment reminder; a marketing re-booking message a few weeks later to opted-in clients.

7. Travel agency: holiday package enquiry

Trigger: Click to WhatsApp Ads, or Match Keyword Contains package OR trip.

  1. List of destinations you sell (Goa, Kerala, Kashmir, Dubai, Thailand, Other).
  2. AI Data Collector with fields: travel dates, number of adults, number of children, departure city, budget per person. It asks only for what is missing, so "4 of us from Jaipur, Kerala in December" fills three fields at once.
  3. Send Message: two sample itineraries as PDF documents.
  4. Buttons: Get a custom quote / Call me / Just browsing. Tag quote-requested.
  5. Assign to Agent (the destination specialist).

  4. Send Message: the documents the claim will need, as a short checklist.
  5. Assign to Agent (Claims desk) immediately; Working Hours adds the emergency helpline number at night.

Do not ask for full card numbers, Aadhaar numbers or similar sensitive identifiers in chat; collect those through the insurer's own channels. Follow-up template: utility claim status updates. See WhatsApp API for insurance.

9. Home services: AC or appliance repair booking

Trigger: Match Keyword, Contains repair OR service.

  1. List: AC service, AC repair, Washing machine, Refrigerator, RO purifier, Something else.

Trigger: the customer taps a quick reply button such as Rate us on your utility completion template; a Match Keyword trigger with is Rate us catches that reply.

  1. Buttons: Great / Okay / Not happy. Saved to last_rating.
  2. Great: Send Message with your Google review link (Cta url) and a thank-you.
  3. Okay: Ask Question, Text: "What could we do better?" Saved to feedback_note.
  4. Not happy: Tag complaint and Assign to Agent (manager) at once.
  5. Stay in Session for the hand-off so another bot does not interrupt.

Follow-up template: the completion template itself (utility); the feedback survey templates have approved-style wording.

Before you copy any of these

  • Get consent right. A bot replying to someone who wrote first is fine. Messaging people first needs their opt-in and an approved template.
  • Keep a human path on every menu; WhatsApp's policy expects it, and it protects your quality rating.
  • Budget for messages. Each business phone number gets 1,000 free service messages a month, then Meta charges per service message (₹0.115 per message to India, Meta rate card effective 1 Oct 2026, excl. GST). Utility and marketing templates are charged per delivered message; see WhatsApp API pricing.
  • Choose the bot type per question. The keyword vs button vs AI comparison helps you decide where AI earns its place.

Frequently asked questions

Can I import these chatbot templates directly?

They are outlines to build in a flow builder, not import files. Each flow takes roughly 30 to 90 minutes to build once your texts, brochures and fields are ready, and adapting the wording to your business matters more than the structure.

Which chatbot flow should a small business build first?

The one that answers the question you get most often. For most businesses that is booking or enquiry: a keyword trigger, a short menu, two or three questions and a hand-off to a person.

Do chatbot flows need Meta approval?

No. Bot replies inside the 24-hour customer service window are normal messages and need no approval. Only templates, which you send to start a conversation or follow up after the window closes, are reviewed by Meta.

How do I start a chatbot from a Facebook or Instagram ad?

Run a Click-to-WhatsApp ad and use the Click to WhatsApp Ads trigger, optionally with the ad's Meta Ad ID so each project or product gets its own flow. The ad's headline is available as a variable in the bot.
