Can one WhatsApp number be used by multiple agents? Your three options compared
Three ways to let a team answer one WhatsApp number, compared honestly: what each allows, who sees which chats, what coexistence keeps and loses, and when to use more than one number.

In short
Yes. To run one WhatsApp number with multiple agents properly, connect it to the WhatsApp Business API and answer from a shared team inbox, where each agent has a login, chats are assigned and history stays with the business. The WhatsApp Business app's linked devices suit two or three people who can all see everything. Coexistence lets you keep the Business app on the phone while the team works in the inbox, with some app features switched off.
Key takeaways
- The Business app's linked devices let a few people share a number, but everyone sees every chat and nothing records who owns it.
- On the WhatsApp Business API the number has no app; any number of team logins your plan allows can answer it from a shared inbox.
- Assignment is what stops two agents answering the same customer; agents can be limited to their own and unassigned chats.
- Coexistence keeps the Business app on the same number; messages sent from the phone appear in the inbox and are not charged by Meta.
- Use separate numbers for separate brands or branches, not for separate agents; messaging limits are shared across the business portfolio.
The short answer
Yes, you can run one WhatsApp number with multiple agents, and how well it works depends on which WhatsApp product the number is on. A business typically outgrows a single phone when a second person starts answering, and the question becomes: how do several people reply from one number without stepping on each other, and without losing the chat history when someone leaves?
| Business app + linked devices | WhatsApp Business API + shared inbox | Coexistence (app + API) | |
|---|---|---|---|
| Who can answer | The phone plus a few linked devices | Every team login on your plan | The phone and every team login |
| Each agent has own login | No, devices share one account | Yes | Yes, in the inbox |
| Chat assignment | No (labels only) | Yes, manual or by chatbot | Yes, in the inbox |
| Agents limited to own chats | No | Yes, by role | In the inbox, yes; the phone sees all |
| Chatbots and automation | Greeting and away messages | Full flow builder, AI, workflows | Full, through the API side |
| Broadcasts to opted-in customers | Broadcast lists (small scale) | Template campaigns | Template campaigns; app broadcast lists are disabled |
| Meta charges | None | Per delivered template; service messages free up to 1,000 a month | Messages from the app stay free; API messages charged |
Option 1: the Business app with linked devices
The WhatsApp Business app lets you link a few extra devices (a laptop with WhatsApp Web, a tablet) to the same account. For a shop where the owner and one assistant answer, this is enough and costs nothing.
It breaks as the team grows: every device sees every chat, two people can reply to the same customer within seconds of each other, there is no record of who answered what, and when an employee leaves you have to unlink their device and hope nothing was copied. There is no way to send the delivery questions to the delivery person automatically. Read WhatsApp Business app vs API for the full comparison.
Option 2: the WhatsApp Business API with a shared inbox
On the WhatsApp Business Platform the number has no app of its own. Messages arrive at your provider's software through Meta's Cloud API, and the team answers from a browser. In Broadchat that is CRM → Live Chat:
- Own logins. Each person is invited in Workspace → Manage Team with a role. Removing a person removes their access; the chats stay with the business.
- Ownership. Every chat can be assigned to one agent, manually with Transfer Chat or automatically when a chatbot reaches Assign to Agent. Sending to a department picks the active member with the fewest open chats.
- Visibility. The built-in Agent role sees only chats assigned to them plus unassigned ones, so two agents do not answer the same customer. Managers see everything.
- Context. The contact's tags and history are visible to whoever picks up the chat, and internal notes on the contact's page in CRM → Contact are never shown to the customer.
- Automation. Bots answer the routine questions first and hand over with the answers already collected.
Customers see your business's display name, not the agent's name or personal number. If you want the personal touch, have agents introduce themselves ("Hi Priya, this is Kavya from Rangoli Home"); a saved canned response makes that one click. The shared team inbox set-up guide walks through roles, departments and routing.
Option 3: coexistence, the app and the API on one number
Many owners want the team inbox but still like answering a few VIP customers from their phone. WhatsApp coexistence, available in India since May 2025, connects a number that stays active in the WhatsApp Business app (version 2.24.17 or later) to the Cloud API at the same time. In Broadchat you onboard it through Embedded Signup; contacts and up to six months of one-to-one chat history are synced, and messages sent from the phone appear in the inbox next to the team's replies.
What you trade for it:
- App features switched off. Broadcast lists are disabled (existing ones become read-only), and disappearing messages, view-once and live location are turned off for one-to-one chats.
- Linked devices. Existing companion devices are unlinked at onboarding; up to four can be linked again (not WhatsApp for Windows or Wear OS).
- Keep the phone active. Open the Business app on the main phone at least every 14 days or so, or the connection can drop.
- Lower throughput. Coexistence numbers send at a fixed 20 messages per second, against 80 by default on a regular API number, which matters only for large campaigns.
- Billing split. Messages sent from the app stay free; messages sent through the API are charged at Cloud API rates. A message sent from the app does not open the API's 24-hour window.
- No Groups API on coexistence numbers.
Coexistence suits owner-led businesses moving gradually to a team. If nobody needs the phone app any more, a regular API number is simpler.
When to use more than one number
Agents are not a reason for more numbers; brands and locations are. Use separate numbers when customers should see different names (two brands), when branches need separate inboxes and templates (Jaipur and Pune showrooms), or when one department's volume would drown the others. Remember that since October 2025 Meta sets messaging limits per business portfolio, shared by all its numbers, so splitting numbers does not multiply how many customers you can reach with templates. A business portfolio starts with two numbers and can have up to 20 after verification or reaching the 2,000 tier.
Practical rules for a multi-agent number
- One login per person, never a shared password. It is the only way to remove access cleanly.
- Assign before replying. If you pick up an unassigned chat, assign it to yourself first.
- Leave a note on the contact's page for anything the next person must know ("promised a callback on Monday").
- Agree a tone and a sign-off, and keep them in canned responses so the business sounds like one voice.
- Keep a human path in every bot; WhatsApp's policy expects automated chats to offer one.
For the platform basics start with what the WhatsApp Business API is, and see the team inbox and CRM page for the features together. Agencies setting up shared numbers for many clients can do it under their own brand with the white-label platform.

Frequently asked questions
How many agents can use one WhatsApp Business API number?
Meta does not limit agents on an API number, because there is no app on a phone; the team answers from software. The limit is the number of team logins on your platform plan.
Can two agents reply to the same WhatsApp chat by mistake?
On the Business app with linked devices, yes, because every device sees every chat. In a shared inbox, assigning chats and limiting agents to their own and unassigned chats prevents it.
Can I keep using the WhatsApp Business app after connecting the API?
Yes, in supported countries including India, through coexistence. The number stays active in the Business app and the team answers in the inbox; some app features such as broadcast lists are disabled, and the app must be opened regularly.
Does each agent need a separate WhatsApp number?
No. All agents answer the same business number from their own logins, and customers see only the business name. Separate numbers make sense for separate brands or branches, not separate agents.
