WooCommerce and WhatsApp: sync products and create orders from chat

What the WooCommerce connection does today: product pull and push with field mapping, orders sent from WhatsApp chatbots to WooCommerce, and what it does not sync.

How it connects

Built-in connector in the Broadchat panel

WooCommerce · Ecommerce · website

You will need

  • A WooCommerce store reachable over HTTPS, with pretty permalinks enabled so the /wp-json/wc/v3/ REST API works.
  • A WooCommerce REST API key with Read/Write permission, created by an administrator (consumer key starting ck_ and consumer secret starting cs_).
  • The Ecommerce module on your Broadchat plan; ask your provider if you do not see Ecommerce in the menu.
  • Products with SKUs in WooCommerce. Broadchat matches products by SKU when it pulls them again and when it creates orders.

What the WooCommerce connection is for

The WooCommerce WhatsApp integration in Broadchat connects your WordPress store to WhatsApp in the direction that helps conversational selling: your product list comes into Broadchat for chatbots, and orders confirmed in WhatsApp go back into WooCommerce. Your team keeps packing and shipping from WooCommerce, and customers who prefer to order in chat are not pushed to the website.

It suits stores with a catalogue of simple products (or variations kept as separate SKUs) that get many orders through WhatsApp, Click-to-WhatsApp ads or Instagram. It is not, on its own, a notification plugin for every website order; the section on website orders below explains how to add that.

Field mapping

short_description, else description (HTML removed)Description
regular_pricePrice

stock_quantity (if stock is managed)Stock

Give every product a SKU before the first pull. Products without one get a generated woo-<id> SKU, which works but is harder to match in other systems.

Automatic messages for website orders

Because WooCommerce does not notify Broadchat of website orders, use WooCommerce's own webhooks to call a Broadchat workflow:

  1. In Broadchat, create a workflow in Automations → Workflow with the Custom Webhook trigger and copy its Webhook URL.
  2. In WordPress, open WooCommerce → Settings → Advanced → Webhooks, click Add webhook, set Topic to Order created and paste the URL as the Delivery URL.
  3. WooCommerce sends a ping containing only webhook_id when you save the webhook. After saving, click Capture Incoming Webhook in the workflow and place a test order, so the captured sample is a real order. Then map {{1.billing.phone}}, {{1.billing.first_name}}, {{1.number}} and {{1.total}} into Send Template Message (V2) with an order confirmation template.
  4. Make sure the phone number includes the country code; add a formatter step or a checkout field rule if customers type 10-digit numbers.

Only message customers who agreed to receive order updates on WhatsApp, for example with a checkbox at checkout. See the webhooks integration for the payload rules.

Troubleshooting

  • Store API error 401 on connect: the key is wrong, revoked, or Read-only. Create a new Read/Write key.
  • Store API error 404: the REST API is not reachable. Check that the domain is correct and that WordPress permalinks are not set to Plain.
  • Products missing after a pull: variations are not imported, and only the first 2,000 products are read. Draft products arrive as drafts.
  • Order created with item names but no product links: the SKU in Broadchat did not match a WooCommerce product. Pull products again so SKUs line up.
  • Security plugins blocking requests: allow REST API access for the key's user in your firewall or security plugin.

For the Shopify equivalent, see the Shopify integration. The ecommerce playbook covers the wider selling flow.

Set it up

  1. Create REST API keys in WooCommerce

In WordPress, open WooCommerce → Settings → Advanced → REST API and click Add key. Give it a description such as "Broadchat", choose a user with administrator rights, set Permissions to Read/Write and click Generate API key. Copy the consumer key and consumer secret; WooCommerce shows the secret only once.

  2. Connect the store in Broadchat

Open Ecommerce → Store Front and choose the WooCommerce Store tab. Click Connect, then fill in Store Title, Domain (for example shop.rangolihome.in, without https://), Consumer Key and Consumer Secret. Click Connect; the button shows Verifying Details while Broadchat checks the keys against your store's products API.

  3. Pull your products

Open Ecommerce → Products, choose the store under Select Store and click Pull Products. Confirm the prompt. Existing Broadchat products with the same SKU are updated, the rest are created.

  4. Push products back if you edit in Broadchat

If you create or edit products in Broadchat, click Push Products to send them to WooCommerce in batches. Products whose SKU already exists are updated, others are created.

  5. Send WhatsApp orders to WooCommerce

In the chatbot builder, after the customer confirms a cart, add the Send Order to Store step from Native Ecommerce Actions and pick your WooCommerce store under Select Store. The order is created in WooCommerce and its WooCommerce order id is saved on the Broadchat order.

  6. Check the sync history

On the store card in Ecommerce → Store Front, click History to see each pull, push and error with its time.

What you can do

  • Bring your catalogue into WhatsApp

Pulled products can be shown in chatbot flows, so customers browse and build a cart in the chat. Name, SKU, description, regular and sale price, stock, images and tags are imported.

  • Create WooCommerce orders from chat

Orders confirmed in a WhatsApp chatbot are created in WooCommerce with billing and shipping details, the payment method (cash on delivery or other) and a customer note, so fulfilment stays in WooCommerce.

  • Keep one product list

Push Products sends products you manage in Broadchat to WooCommerce, which helps businesses that started selling on WhatsApp and are now opening a website.

  • Send order events onward

Orders created in Broadchat fire Order Created and Order Updated events in Ecommerce → Trigger, which can start a workflow that sends confirmation and shipping templates.

Limitations to know

  • Orders placed on your WooCommerce website are not imported into Broadchat, and Broadchat does not receive WooCommerce webhooks. Automatic WhatsApp messages for website orders need your store to call a Broadchat workflow webhook or the API.
  • Variable products are imported without their variations: each WooCommerce product becomes one Broadchat product. Sell variations as separate simple products with their own SKUs if you need them in chat.
  • Pull and push are manual (button clicks); there is no scheduled sync. Placing an order in Broadchat does not change WooCommerce stock unless the order is created there with Send Order to Store.
  • Pulled products are imported in INR, and one pull reads up to 2,000 products.
  • The consumer key and secret cannot be changed on the store card later; delete and reconnect the store if you rotate them.

Frequently asked questions

Does Broadchat send a WhatsApp message for every WooCommerce order automatically?

Not by itself. Broadchat does not receive WooCommerce events. Add a WooCommerce webhook for the Order created topic that calls a Broadchat workflow's Custom Webhook URL, and send an approved order template from that workflow.

Which WooCommerce permissions does Broadchat need?

A REST API key with Read/Write permission. Read is needed to pull products and look up SKUs; Write is needed to push products and create orders from WhatsApp chats.

Are WooCommerce product variations supported?

Not today. Each WooCommerce product is imported as one product without its variations. If you sell sizes or colours in chat, keep them as separate simple products with their own SKUs.

Is my WooCommerce consumer secret stored safely?

Broadchat checks the keys with your store when you connect and stores them encrypted. Use a dedicated key for Broadchat so you can revoke it in WooCommerce without affecting other apps.
