The problems WhatsApp solves for interior designers and furniture retailers

  • Moodboards and quotes get lost in personal chats

A designer's reference images, fabric swatches and cost sheets sent from a staff member's personal number leave with that employee, and the client has no single thread showing what was agreed at each stage.

  • Site visits and measurement appointments are booked by phone and forgotten

Scheduling a measurement visit or a factory-floor showroom appointment over a call, with no written confirmation or reminder, leads to no-shows and wasted staff time, especially for site visits that require travel.

  • Delivery windows for furniture are wide and poorly communicated

Made-to-order and large furniture items often ship weeks after the order, and customers left without updates in between call repeatedly to ask whether anything has changed.

  • Approvals happen over scattered messages, calls and emails

A single project can involve a moodboard approval, a fabric choice and a final cost-sheet sign-off, each handled differently, so nobody has one place to check what the client actually agreed to.

Why WhatsApp fits this business

Interior design and furniture retail both run on a small number of high-value conversations rather than high-volume chat, and each conversation moves through clear stages: browsing or a moodboard, a site visit or measurement, a quote and approval, then production and delivery. The WhatsApp Business API keeps every stage of one client's project in a single thread the whole team can see, rather than split across a designer's personal phone, a showroom salesperson's phone and email.

Furniture retailers in particular benefit from the gap between order and delivery being communicated clearly: made-to-order pieces can take weeks, and a customer who hears nothing in that time assumes the worst and starts calling.

What it costs to run

Meta charges per delivered template message, with rates varying by category and country, and since 1 October 2026 service replies inside an open chat are free only up to 1,000 per phone number a month, with utility templates charged even inside that window. See the WhatsApp API pricing explainer for current rates and a worked example; a business sending mostly utility-style quote, visit and delivery updates to a moderate client list keeps this cost line small relative to project values.

Tools that make it work in Broadchat

  • Native Calendar (Automations): define a measurement-visit or showroom-appointment event type with your team's real availability, so bookings never double up.
  • Chatbot builder: send catalogue images or documents, collect a shortlist or approval reply, and hand off to a designer or salesperson with the full chat history.
  • CRM Boards: move each project through stages such as enquiry, visit booked, quote sent, approved, in production and delivered, so nothing is forgotten between a quote and a delivery.
  • Ecommerce catalogue: for furniture retailers selling stock items, import a catalogue so customers can browse and order without leaving the chat.
  • Team inbox: keep every client's moodboards, cost sheets and approvals in one place the team shares, instead of on individual staff phones.

Getting started

Start with the two flows that remove the most phone calls: visit scheduling with a reminder, and delivery-milestone updates for orders already in production. Add the quote-and-approval flow once your team is comfortable sending documents and recording replies in the shared inbox, and leave referral or offer campaigns for last, once you have a base of happy, opted-in clients to send them to. Design studios and furniture chains running this across many branches or franchisees can offer it under one brand through the partner program.

Use cases with example messages

  • Catalogue and moodboard sharing

Share product photos, fabric options or a project moodboard from a connected catalogue or as media messages, so the client can browse and shortlist items inside the same chat used for everything else.

    Reply inside the 24-hour window

    1. Business: Hi Meera, here are three sofa options in the fabric and size you asked about for your living room. Reply with the number you'd like to shortlist.

    Example message
  • Site-visit and measurement scheduling

Let a prospective client book a measurement visit or showroom appointment against your team's real availability, then confirm it and send a reminder the day before.

    utility template

    1. Business: Hi Arjun, your measurement visit is confirmed for Saturday, 22 Nov, 11 am, at your Baner flat. Our designer Priya will call 30 minutes before arriving.

    Example message
  • Quote and approval sign-off

Send the cost sheet or final quote as a document, and record the client's WhatsApp confirmation against the project instead of chasing a signature by email.

    utility template

    1. Business: Hi Rohit, attached is the revised cost sheet for your kitchen project: ₹4,82,000 including the modular units and countertop. Reply APPROVE to confirm, or let us know what to change.

    Example message
  • Production and delivery updates

For made-to-order furniture, update the customer at each real milestone: order confirmed, in production, dispatched and delivered, so the wide gap between order and delivery doesn't turn into repeated status calls.

    utility template

    1. Business: Hi Sneha, your dining set has left our workshop and is expected to reach you around 28 Nov. We'll confirm the exact delivery slot a day before.

    Example message
  • Post-installation follow-up and referrals

After installation, check whether everything arrived as agreed, and for satisfied opted-in clients, ask for a referral or share a seasonal offer on accessories or soft furnishings.

    marketing template

    1. Business: Hi Vikram, hope the new wardrobe is working well for you. If you know anyone planning a renovation, we'd appreciate the referral.

A rollout playbook

  1. Put every client conversation on one business number

Move moodboards, quotes and approvals off individual staff phones and into a shared inbox, so a project's history survives staff changes and is visible to whoever is covering for a colleague.

  2. Automate visit scheduling first

A booking flow for measurement visits and showroom appointments, with a confirmation and a day-before reminder, removes the most common source of no-shows with the least amount of automation.

  3. Use documents for anything that needs a record

Send cost sheets, moodboards and final layouts as documents or images in the chat, and record approvals as explicit replies, so there is a clear trail of what was agreed and when.

  4. Track production and delivery milestones that are actually true

Only message a milestone once it has really happened. A customer who gets a "dispatched" message for an item still in the workshop loses trust fast, and complaints rise instead of falling.

  5. Ask for referrals only from happy, opted-in clients

Referral and offer messages work best right after a good outcome, sent only to clients who agreed to receive them, and kept occasional.

Compliance notes

  • Order and project-update messages do not imply marketing consent; ask separately before sending referral requests or seasonal offers.
  • Keep delivery and production updates factual; avoid promotional language in them so they are not re-categorised as marketing.
  • Honour opt-out replies across every campaign, including referral and seasonal-offer messages.
  • Do not collect card numbers or bank details in chat; share a payment link from your payment gateway instead.

Frequently asked questions

Can I send moodboards and catalogue images over the WhatsApp Business API?

Yes. Image and document messages are supported, and once a client has messaged you, you can reply freely inside the open customer service window; before that, or after it closes, a template message is needed to start or restart the conversation.

Is a delivery or production update a marketing message?

No, as long as it stays factual and about an order the customer already placed. Keep offers and promotions out of it so it stays a utility message.

Do I need the WhatsApp Business API for a small, one-designer studio?

A studio handling a few client conversations at a time from one phone can manage on the WhatsApp Business app. The API is worth it once several staff need to see the same client's history, or you want automated visit reminders and delivery updates.

Can furniture retailers sell directly inside the chat?

Yes, for stock items, by connecting a product catalogue so customers can browse, add to cart and pay through a connected gateway. Fully custom, quote-based work is usually handled as a conversation with a document-based quote instead.
